Position Overview: Seeking a Personal Assistant for a principal based in Campbell River. The successful applicant will represent the principal and provide operational support across a number of projects. This position works closely with the principal to manage daily schedules, correspondences, and create detailed travel itineraries. Some travel is required for this role on an as-needed basis to ensure smooth operations. Candidate Profile: You’re able to compile information effectively and pride yourself on your ability to communicate concisely, both written and verbally. Organizational ability is a priority, not only administratively but within the residences. You should have strong interpersonal skills and be able to manage a wide variety of personalities whatever the situation. The ability to juggle competing priorities is vital for your success in this role. You have a ‘do what it takes attitude’ and are ready to provide hands-on support as needed. You are a truly dedicated candidate with no competing obligations looking to devote yourself to your next long-term role. Primary Responsibilities: • Manage a dynamic calendar accommodating multiple time zones • Liaising with staff, vendors, and contractors on properties to ensure everything is ready for principal’s arrival • Manage sensitive matters with a high level of confidentiality and discretion • Source and book events or activities as requested • Book private travel and accommodations, create trip itineraries, be ready and available to support any last-minute changes to travel plans while the principal is abroad • Be the main point of contact and accountability for when “something happens” like rescheduling a missed flight or retrieving lost luggage • Track expenses, reconcile receipts, and source cost-saving alternatives without compromising quality • Manage existing inventories and purchasing for principals • Help organize and facilitate special events from conception to realization • Assist principals with gift buying, Christmas cards, and other small projects • Research and compile information and solutions as needed for principal approval • Run errands for the principals like dry cleaning or package drop offs, etc. • Performs additional duties as assigned by Principals Applicant Qualities: • University education is an asset, along with access to a reliable vehicle and valid driver’s license • Must be comfortable working in a residence with dogs• Minimum 3 years of experience in high profile support, luxury hospitality, or personal concierge with high net worth individuals • Familiarity and comfort with digital management, tracking, modeling, and writing tools • Ability to communicate effectively and professionally • Must possess excellent time management skills, be punctual, courteous, possess keen attention to detail and follow through on all projects assigned • Must maintain privacy and confidentiality at all times, exercise diplomacy, discretion and respect appropriate boundaries
