Reporting to the Manager Rehabilitation \& Allied Health, Transplants, Ambulatory Care and Emergency Department, the Administrative III position provides support to the University of Alberta Hospital, Rehab and Allied Health Department. As an Administrative Support III, you will carry out administrative activities in support of the department, the interdisciplinary team and/or other stakeholders. This position involves scheduling patient appointments according to procedures, processing referrals, maintaining waitlists, registering and checking in patients. The admin III also responds to inquires related to operational procedures, schedules a variety of department meetings (e.g. team meeting) completes documentation related to financial activities (e.g. bank deposits), verifies and follows up on inventory and equipment requests (e.g. supply order) and a variety of general clerical activities in support of operations. This position is patient facing and involves hearing and responding to patient questions, concerns and complaints and directing or escalating these to the necessary individuals. The admin III is first line support to the team leads and staff within the department of Rehab and Allied Health.
As an Administrative Support III, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Completion of Grade 12 or equivalent.
Recent experience in providing administrative support within a clinical setting is required. Knowledge and skills in use of MS Office, including Outlook, Word, Excel, Visio and MS Teams. Proficiency with Connect Care including scheduling, processing referrals and patient billing is required. Experience with Oracle is required. High degree of accuracy, attention to detail, organizational and time management skills. Excellent command of the English language in both written and verbal skill. Superior active listening and interpretative skills. High degree of customer service, problem solving, interpersonal skills and critical thinking. Demonstrated professional telephone skills. Experience resolving complex client issues with professionalism, discretion and compassion.
Completion of a certificate or diploma in a healthcare program.
