Our mission is profound, yet simple -- to leave humanity better than we found itThe RoleWe are seeking a highly organized, proactive, and resourceful Administrative Assistant to support our Executive Director (ED) along with other leaders in our organization while also providing assistance to the Program Managers.
This position plays a critical role in ensuring the smooth operation of the executive office and supporting the broader team in delivering impactful programs and events that align with Humaniti's mission. Key Responsibilities:Executive Support:Manage the Executive Director's calendar, schedule meetings, and handle travel arrangements. Prepare briefing materials, meeting agendas, and minutes.
Assist with email management and correspondence. Coordinate board meetings, including logistics, preparation, and follow-ups. Draft reports, presentations, and official communication for internal and external use.
Program \& Event Support:Assist Program Managers with administrative tasks across multiple local and international aid projects. Help coordinate logistics for various programs, including community events, fundraising activities, and donor meetings. Support in tracking project timelines, deliverables, and reporting deadlines.
Assist with vendor and partner communications, ensuring all parties are aligned on event requirements. Provide logistical support for special events such as donor galas, program launches, and awareness campaigns. Assist with preparing impact reports, program evaluations, and event recaps.
Administrative Support:Maintain and organize program and project documentation, ensuring accessibility for all team members. Provide general administrative support, including document preparation, data entry, and scheduling. Assist with internal and external communications, drafting emails, memos, and presentations.
Track expenses, process invoices, and assist with budget management for events and programs. Qualifications and SkillsBachelor's degree in Business Administration, Communications, or a related field (preferred but not required).2--3 years of experience as an Executive Assistant, Administrative Assistant, or similar role. Exceptional organizational and multitasking skills.
Excellent verbal and written communication skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Ability to work both independently and collaboratively in a team-oriented environment.
Strong attention to detail and the ability to prioritize tasks effectively. Experience in a nonprofit setting is an asset. Personal Attributes:Proactive and resourceful with a problem-solving mindset.
