Reporting to the Office and Fleet Manager, the Office Administrator will be responsible for supporting the manager with various functions for both the office and fleet. Day-to-day duties will include scheduling fleet maintenance and repairs, maintaining accurate records and assisting with communications for both office and fleet. Additional responsibilities will include maintaining and compiling reports for fleet management and ad hoc administrative duties such as scheduling meetings and coordinating boardrooms.
Role and General Responsibilities
- Scheduling appointments
- Maintain a record of vehicle and driver information and locations.
- Collect and analyze monthly reports.
- Address and maintain records for parking violations or traffic tickets with drivers.
- Preparing vehicles for return.
- Assist in maintaining a safe work environment.
- Assist in coordinating and organizing department or project meetings and event planning (coordinating visitors, booking meeting rooms, and catering management).
Qualifications and Education Requirements
- High School degree and a post-Secondary education in Administration
- 2-3 Years of experience in administrative, fast paced environment
- Proficiency in commonly used computer software including: Excel, Word, Adobe, Outlook and PowerPoint.
- Efficient with emails and setting up calendar scheduling.
- Valid G Driver's License
