We are hiring a dynamic and organized Administrative Assistant to support our dedicated Program office and team. In this vital role, you'll handle a variety of administrative, clerical, and financial tasks that help keep our programs running smoothly and effectively.

What you'll do:
Reporting to the Program Manager, the Administrative Assistant will maintain organized and efficient office systems, demonstrate proficiency in a variety of software applications, and provide additional support to staff in the areas of financial recording, procurement, and program office operations.
Key areas of responsibility will include:
- Demonstrate work practices consistently with our agency's values, mission statement, and CARF standards, ensuring excellence in delivery service.
- Learn, maintain knowledge of, and adhere to all company policies, procedures, and protocols, staying updated to uphold professionalism and compliance.
- Maintain positive relationships and communicate professionally and accurately with internal and external contacts, fostering collaboration and respect.
- Manage and prioritize multiple tasks and deadlines efficiently.
- Maintain organized and efficient physical and electronic filing systems, ensuring easy access and retrieval.
- Enter and update data in various databases and generate necessary reports.
- Verify, monitor, reconcile, and finalize various financial records within the program, including petty cash, urgent expenses, nominal roles, client/contract payments, monthly financial reports, receivables, and invoices. Ensure the proper documentation is completed and accurate reimbursements are processed.
- Coordinate or assist with organizing a range of events, including meetings and staff/client social gatherings.
What you bring:
- A post-secondary degree or diploma in Business Administration or a related field, with at least two years of relevant experience in an administrative role.
- Strong communication and problem-solving abilities, along with excellent analytical, organizational, and time management skills.
- Proficiency in Microsoft Office Suite, Adobe Creative Suite, and video conferencing platforms (such as Zoom and Microsoft Teams).
- Demonstrated ability to work effectively within a team and build positive relationships with both internal and external stakeholders.
- Ability to maintain confidentiality and handle sensitive information.
- A valid Class 5 driver's license and the ability to travel to various locations as needed is an asset
- Good manual dexterity for tasks such as keyboarding, filing, copying, collating, and similar duties.

The Salary for this position is $45,656- $48,505 annually commensurate with education /experience.
