Role Description
This is a full-time, in-office role for an Executive Assistant for the Executive team of SEERA Networks, located in Vancouver, BC.
As Executive Assistant to the Founder/CEO and Executive Team, you'll be at the center of operations, communication, and strategic execution. Your role is to keep everything running smoothly behind the scenes---whether that means managing complex calendars, preparing launch documents, liaising with developers, or rolling up your sleeves for last-minute event logistics. You'll be exposed to every level of the business and will play a crucial role in its continued growth and innovation.
This is not a passive support role---it's a springboard. For the right person, there is exponential growth potential and real upward mobility within the company.
Key Responsibilities
- Be the founder's right hand---supporting both business and personal matters with total discretion
- Manage scheduling, emails, and day-to-day priorities like a master chess player
- Prepare, proofread, and organize documents including listings, contracts, offers, presentations, and marketing assets
- Navigate platforms like Paragon, Webforms, DocuSign, Canva, InDesign, and more
- Coordinate travel, meetings, project launches, and special events
- Handle light bookkeeping, invoicing, and compliance tracking
- Provide excellent phone and in-person communication with clients, developers, and consultants
- Oversee office organization, supplies, and occasional errands
- Identify and implement operational improvements using AI tools, automation, and tech systems
- Be flexible and available during peak project periods (including some evenings/weekends)
You're a Fit If You Have:
- Experience supporting C-level executives or business owners in a high-stakes environment
- Real estate fluency (bonus if you know the ropes of resale, presale, assignments, and MLS platforms)
- Impeccable organizational skills---you thrive on structure, lists, and staying five steps ahead
- Exceptional communication skills: written, verbal, and presentation
- A strong grasp of Microsoft Office, Google Suite, Canva, DocuSign, Asana (or similar PM tools), and more
- A proactive mindset---"no task too big or too small" is your default setting
- A valid driver's license (not N or L), and a valid passport
- A real estate license or strong willingness to get licensed (exam fees covered upon passing)
- High emotional intelligence, professionalism, and discretion with confidential matters
- A passion for learning, adapting, and growing inside a company with global reach
