THE ROLE IN A NUTSHELL
As the Pharmacy Assistant (PA) at our online pharmacy, you play a pivotal role in customer service, patient care, and delivery of pharmacy services to our growing patient population. Your responsibilities encompass onboarding new patients, receiving new and refill prescriptions orders, providing end-to-end technical dispensing functions (entry, billing, packaging, shipping), inventory management and ordering, problem resolution and communication, and various other dispensary duties as assigned by your Team Lead. You often serve as the first point of contact for patients, healthcare practitioners, and organizations. Your role is crucial in maintaining a seamless workflow, meeting deadlines, and delivering exceptional customer service. In all of the duties you perform, it is essential to comply with all ethics and standards of practice of the Ontario College of Pharmacists under the supervision of Regulated Pharmacy Technicians and Pharmacists.
- Customer Onboarding and Customer Experience:

Enter and create profiles for new customers and patients using a variety of technologies.

Transfer prescription profiles from previous customer pharmacies and enter them into the patient profile.

Explain to customers how to fully experience all the services, offers, and conveniences offered by our pharmacy.

Answer customer questions to the best of your ability and forward questions of a clinical nature to pharmacists.

Take a "Customer First" approach to all customer interactions.

Complete tracking and reporting of customer interactions as defined and appropriate.
- General Prescription Processing:
-
Call patients from the call list for prescription renewals to confirm refill and shipping dates.

Process transferred, new, and refill prescriptions when received via Phox, Fax, Email, Phone, or other means.

Filling/Packaging of prescriptions following all guidelines to ensure accuracy and patient safety. Do so according to the Standards of Practice of the Ontario College of Pharmacists and under supervision of Regulated Pharmacy Technicians and Pharmacists.

Shipping of prescriptions and other orders when called upon.
- Inventory Management:

Place and receive all orders.

Monitor inventory levels to always ensure in-stock position to the best of your ability.

Put away orders including stock rotation and ensuring cold chain is managed as appropriate.

Perform formulary analysis and management to optimize formulary adherence benefits.

Monitor out-of-stock and drug supply issues and communicate to the team.

Participate in other inventory activities such as cycle counting, adjustments, annual count, expiry checks, returns for damage or expiry, and drug destruction.
- Customer Service and Communication:

Answer phones and manage or transfer calls as needed.

Serve as a point of contact for patients, healthcare practitioners, and organizations.

Demonstrate exceptional customer service and communication skills in all interactions.
- Additional Duties:

Complete additional duties as assigned by Team Lead.

- High school diploma or equivalent.
- Previous experience in a pharmacy or healthcare setting preferred.
- Strong organizational and multitasking abilities.
- Excellent communication and customer service skills.
- Familiarity with pharmacy software systems (Kroll, PACMed Core).
