As a valued member of our team, reporting directly to the Manager Operations, you will collaborate closely with a dynamic group professional.
What You'll Do
You'll act with integrity to:
- Demonstrate a high degree of professionalism in a non-partisan support role;
- Perform receptionist duties for both branches by answering incoming calls from clients, responding to inquiries, triaging customer service problems and providing general information;
- Be the first point of contact to greet clients/visitors and direct them to the appropriate branch or staff person;
- Receipt, sign, time stamp and sort all incoming mail for distribution to appropriate branch and staff;
- Prepare and distribute documents for pick up by couriers or staff personnel;
- Sign all incoming mail for both branches and ensure all outgoing mail is appropriately addressed and packaged.
You'll support our collaboration as you:
- Work onsite daily to support the Purchasing and Operations and Financial Services team across the Administrative Services division;
- Respond to inquiries and act as the first point of contact for procurement;
- Provide administrative and data entry support to the branches as required;
- Assist with maintenance and oversight of all general central mailboxes and redirect mail to appropriate staff for resolution;
- Support Purchasing with requisitions with data entry into the enterprise application system (AIMS) ensuring accuracy of details.
How You Qualify You demonstrate excellence through your:
- Completion of 1 year of community college or 2 years of equivalent experience.
- Knowledge of Branch services, programs, policies, and procedures to provide basic information to clients, direct callers, and process mail.
- Good knowledge of clerical and office practices to provide a range of support services, including but not limited to MS Office Suite of Products (e.g., MS Word, MS Excel, MS PowerPoint).
- Projecting a professional company image through voice and online interactions.
- General knowledge of Legislative Assembly branches and departments to redirect calls/inquiries.
- Knowledge of computer technology and software applications with superior keyboarding skills to perform word processing and data entry (AIMS).
