We're looking for a detail-oriented and proactive Administrative \& Operations Support Coordinator to join our dynamic aviation admin team. This multi-faceted role supports both administrative and operational functions across HR, OHS, compliance, and flight operations. The ideal candidate is highly organized, adaptable, and comfortable juggling a variety of tasks in a fast-paced, aviation environment.
This is also a growth-oriented role, with the potential to evolve over time and take on additional responsibilities aligned with the candidate's strengths and interests.
Job description
- This is a full-time, in-office position based at our Langley location and requires regular, on-site attendance.
- This is not an entry-level role; applicants should have previous administrative experience and/or post-secondary education in a related field.
TRK Helicopters is a family-owned commercial helicopter company specializing in charter services across Western Canada, with a primary focus on wildfire suppression. Based in Langley since 2004, we pride ourselves on our strong team culture and supportive, close-knit environment.
We offer a comprehensive benefits package that includes extended health and dental coverage, life insurance, and disability insurance. This is a full-time, in-office position with regular hours from Monday to Friday, 8:00 AM to 4:30 PM, located at Langley Regional Airport.
Key Responsibilities:
Administrative \& Front Office Support:
- Maintain and organize employee files (electronic and hard copy)
- Provide front desk support when needed, including answering and directing calls, greeting visitors, and receiving deliveries
- Monitor and track important staff deadlines such as medicals and license renewals, sending proactive reminders
- Assist with general administrative duties as needed, including document preparation and data entry
Flight Operations Support:
- Receive and audit incoming flight tickets for accuracy
- Enter and validate flight ticket data in the electronic ticketing system
- Verify and print daily flight reports, ensuring accuracy of details
- Track pilot flight and duty times in compliance with CARS regulations
- Perform monthly audits of aircraft Journey Log Books
- Manage incoming CFS (Canada Flight Supplement) updates
Compliance \& Records Management:
- Support the maintenance of pilot records
- Assist with Transport Canada compliance tasks such as documentation submissions and aircraft registration updates
- Assist with safety-related documentation including training records, hazard assessments, safety meeting minutes, and corrective action reports
Social Media \& Internal Engagement:
- As time permits, contribute to social media initiatives by gathering content from staff
Requirements \& Qualifications:
Mandatory Requirements
- 2-3 years of experience in accounting, payroll, or administrative support
- Proficiency with Microsoft Office, especially Excel, Word and Outlook
- High attention to detail and strong organizational/time management skills
- Ability to maintain confidentiality and handle sensitive information professionally
- Excellent written and verbal communication skills
- Ability to work independently and as part of a collaborative team
- Must be available to work on-site full-time at Langley Regional Airport
Nice to Have
- Some post-secondary education in Accounting, Finance, Business Administration, Aviation, or a related field
- Proficiency with accounting software (e.g., QuickBooks)
- Previous work experience in the aviation or transportation industry
- Familiarity with Canada Labour Code and federal compliance
- Experience assisting with audits or regulatory compliance (e.g., Transport Canada)
