ACCOUNTABILITY \& OBJECTIVE
Our Receptionists are the heart of our community -- they are our guest experience ambassadors! Welcoming guests into our community with a smile, setting the tone for their experience, and providing exceptional customer service while maintaining high standards of excellence are essential responsibilities. Under the direction of the Office Manager, the Receptionist provides administrative support, including clerical and reception duties, to ensure the efficient operation of the residence.
BACKGROUND/QUALIFICATIONS
- Minimum of grade 12 education required.
- At least two years of experience in a receptionist or clerical role within a hospitality setting is considered an asset.
- Basic bookkeeping experience is preferred.
- Proven typing and general office administration skills.
- Effective communication skills, both written and verbal, in English.
- Ability to work independently with minimal supervision and demonstrate strong problem-solving skills.
- Proficiency in computer skills, including Microsoft Office Suite (Word and Excel).
- Ability to multi-task and work well independently or as part of a team.
- Resident-oriented mindset, with values aligned with those of the residence.
KEY RESPONSIBILITIES
- Participate in and adhere to continuous quality improvement standards.
- Greet residents and visitors, answer and direct telephone calls professionally.
- Manage office supplies and inventory.
- Handle inquiries and direct marketing calls appropriately.
- Coordinate with Marketing for resident move-ins, including welcome packages and orientation.
- Provide clerical support to management and staff (data entry, photocopying, filing, etc.).
- Monitor and ensure the security of the residence by overseeing incoming and outgoing visitors.
- Maintain a tidy reception area.
- Manage incoming and outgoing mail and deliveries.
- Record and store lost property.
- Implement systems for tracking guest meals and revenue.
- Communicate effectively with residents, families, staff, and the public.
- Assist with setup and takedown of programs and events.
- Create and distribute daily resident census.
- Maintain contact lists and ensure effective communication.
- Perform other duties as assigned, complying with all policies and mandatory training.
