Marketing \& Client Servicing Assistant

About the Role
We're seeking a detail-oriented Marketing \& Client Servicing Assistant to support our investment management firm's business development, client relations, and daily operations. This multifaceted role offers exposure to executive leadership, hands-on project management, and opportunities to contribute to key initiatives in a dynamic environment.
Key Responsibilities
Business Development Support
- Complete business development and client questionnaires
- Update and maintain marketing documents and external databases
- Conduct competitive analyses and market research
- Assist the CEO with scheduling, email follow-ups, and database management
- Draft, review, and distribute research updates, portfolio communications, and client correspondence
- Prepare marketing materials and quarterly investor updates
Client Servicing
- Manage end-to-end client onboarding, ensuring all documentation is collected and properly filed (electronically and physically)
- Serve as first point of contact for client inquiries, responding promptly and professionally
- Assist with monthly and quarterly reporting requirements
Operations \& Administrative Support
- Ensure smooth office operations including mail, email, and phone management
- Review and maintain client and service provider contracts
- Implement and maintain organized filing systems for all documents
- Manage office supplies and coordinate with service providers
- Prepare for, conduct, and follow up on operations meetings
Ad Hoc Projects
- Support CEO and team members with special projects as needed
- Continuously identify opportunities to improve processes
Qualifications \& Skills
Required:
- Bachelor's degree in math, engineering, science, or related field
- 1-3 years of relevant professional experience
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication abilities
- Proven ability to multitask and adapt in a fast-paced environment
- High level of professionalism, integrity, and discretion
- Self-starter with excellent judgment and problem-solving skills
- Team player with eagerness to learn and contribute ideas
- Quantitative skills with ability to analyze data and improve processes
Preferred, but not required:
- Technical background with strong Excel skills (coding/programming knowledge a plus)
- Experience in fund administration, trading, or investment management back-office
