Job DescriptionReporting to the Director of Operations, the Operations Associate provides critical, high-level support to the VPIC Team. The incumbent is responsible for managing account and systems administration, reconciliation, data integrity and reporting processes. The Operations Associate collaborates with the Trading Team, Client Service Team, and VPIC Custodian to ensure the accurate and efficient execution of day-to-day operational processes.The Operations Associate also supports the Operations Team with the maintenance of process and procedural documentation and provides recommendations for, and updates regarding, continuous improvement of the operations function to VPIC leaders.
ResponsibilitiesAccount and Book of Record AdministrationResponsible for maintaining accurate and up to date client and financial account information in the VPIC portfolio management (PM) systemReview and update book values as assets transfer inImport Daily Trade blotters and input client transactionsEnsure accurate and efficient account opening; set up records for new clients and accounts in PM, CRM, and portal systemsDevelop and maintain payment schedule for Auto Buys / PACs / SWPsProvide status updates to VPIC Team members and leadersReconciliationComplete daily reconciliation between custody and PM systems between 7:00 am and 9:00 am each morning to ensure custodian records are accurateEnsure trades settle as requested and client requests have been executed by the custodian per VPIC instructionValidate custodian pricing against third party source using Daily Price Verification report, investigate areas outside range of tolerance as neededCollaborate with Trading and Client Service Teams, and custodian to triage, troubleshoot, and resolve operational, client, and trading issuesLiaise with PM software vendor to resolve technical issues as may be requiredContinuous Improvement, Special Projects, and InitiativesCollaborate with the Operations Team to review and document existing processes and procedures in support of continuous improvement and operational excellenceAssist the Director of Operations and other VPIC leaders with special projects and initiatives related, but not limited, to operational reporting, data quality, and integrityOther duties as assigned QualificationsEducation & ExperienceUndergraduate degree in Commerce, Business Administration, Economics, or related disciplineWillingness to expand on professional qualifications by completing the CSC or similar program / coursesRelated experience in an investment or financial services environment, knowledge of the Canadian Securities industry is considered an assetA combination of education and experience will be consideredTechnical KnowledgeKnowledge of investment management principles, best practices, and emerging trendsTechnical fluency with the ability to learn and adapt to new technology effectivelyWorking knowledge of Salesforce, Portfolio Management software, and Advisor operating systems is an assetAdvanced proficiency in Microsoft Office: Outlook, Excel, PowerPoint, Word, TeamsSkills & AbilitiesDetail oriented with a general penchant for excellenceAbility to communicate clearly and concisely, verbally and in writing, to ensure effective interaction with key stakeholders (internal and external) to manage, inform and influence successful outcomesStrong client service orientation with the ability to build collaborative working relationships based on mutual trust to meet goalsAdvanced organizational skills, adept at managing and prioritizing multiple tasks with competing deadlinesProven analytical, problem solving, and decision-making skillsAbility to be flexible in one’s approach to established plans based on emerging needsEntrepreneurial spirit with a creative outlook and resourceful natureAdditional InformationComprehensive health, dental, and vision benefits
