The Active Living in the Faculty of Kinesiology is currently seeking a Full-time Regular Equipment and Services Administrator.
This is an AUPE position that reports to the Equipment and Services Manager, Outdoor Centre. The position is based on a Monday to Friday 7hr work schedule however, during peak summer/winter times there will be a requirement for weekend and evening work.
This position entails a high volume of work of varying complexity and often with short time-lines for completion. The position requires a proactive approach in a complex environment and requires considerable judgment and decision making which generally follows outlined procedures and guidelines. The incumbent is expected to make discretionary decisions that impact rentals and programs. Problem solving, conflict resolution, document preparation, maintaining good and sound judgment under pressure and attention to detail are necessary. Maintaining clear and concise records is essential.
Summary of Key Responsibilities (job functions include but are not limited to):
- Listed below are some of the tasks and duties that are required of this position
- Responsible for the organization and administration of the Outdoor Centre rentals inventory and gear
- Takes the lead role in maintaining a high level of customer service at the Outdoor Centre rental operations
- To effectively coordinate and supervise the workflow of customer service/Tech staff on a daily basis. This includes setting work priorities, allocating staff resources and supervision of the workflow of the customer service staff on a daily basis
- Acts as the front-line authority who deals with customer complaints or exceptions to policies and procedures regarding equipment rentals or program registration
- Support the Equipment and Services Manager to ensure that customer service staff training is accomplished in a consistent, timely and thorough manner for all hourly paid staff. This includes working with program coordinators to ensure that training materials are current and accurate
- Ensures that information about problems and issues with equipment, or programs are effectively communicated back to the program coordinators who are responsible for those areas
- Deals effectively with customer questions and complaints
- Suggests recommendations for review of policies or processes that will improve customer service, Technical, and Office Administration
- Accurately assess fees, process payments, authorize credit card payments, balance daily deposits, process program & rental refunds and transfers
- Ensures that the customer service area has the tools and resources required to function effectively
Qualifications / Requirements:
- Diploma in Outdoor Pursuits or Recreation Administration
- Experience with maintenance & repair of outdoor gear
- Requires good interpersonal and communication skills such as diplomacy, punctuality, approachability, calmness during stressful times, the ability to focus and multi-task
- Requires good organizational and time management skills, accuracy, good attention to detail
- Knowledge and experience in the wide variety of outdoor activities offered by the Outdoor Centre
- Understanding of policies and procedures relating to inventory and equipment management and maintenance
- Wilderness First Aid is preferred
- Valid police security check
- Good working knowledge of MS Office applications particularly Excel and Word
- Familiarity with University core business systems, CSIS and PeopleSoft is an asset
- Strong computer skills with an ability to learn and manage new operating systems
