POSITION SUMMARY
The Office Services and Hospitality Assistant plays a key role in delivering high-level customer service and supporting daily office operations within a busy team environment. This position involves a mix of hospitality, reception, and administrative duties, including scanning, document management, and general office services support. The ideal candidate is proactive, client-focused, and collaborative, with excellent communication and organizational skills. Flexibility to accommodate business needs and contribute as a strong team player is essential.
The position reports to the Director of Finance and Operations and is scheduled to work 8:00 am to 4:00 pm, Monday to Friday in the office. This role is a permanent full-time in-office position.
RESPONSIBILITIES
Office, Hospitality, and Reception Support:
Set up, stock, and maintain boardrooms and kitchen area for meetings and firm functions.
Maintain cleanliness and presentation of shared spaces.
Order and replenish kitchen and hospitality supplies.
Provide reception relief, including booking boardrooms, answering the switchboard, and greeting visitors.
Provide primary backup coverages for reception and office services team members during absences.
Assist with office and client functions, including setup and coordination.
Perform occasional heavy lifting and movement of boxes and furniture.
Client Interaction:
Deliver excellent service to internal and external clients with a client-first mindset.
Communicate effectively regarding job status, requests, or deadline.
Anticipating needs and exceed expectations in hospitality service.
Office Equipment and Appliance Maintenance:
Monitor and maintain office appliances and furniture (e.g., refrigerator, dishwasher, coffee machine, boardroom table and chairs etc.).
Coordinate service calls or repairs as needed and report issues to the supervisor.
Additional Duties:
Provide with office services support: scanning, photocopying, binding, mails/ courier handling.
Perform digital scanning of incoming mails and courier package and coordinate their distribution.
Assist with workstation setup for new hires and internal office moves.
Support special projects and ad-hoc tasks as assigned.
Flexibility to work alternate hours, 9 am to 5 pm, and occasional overtime as needed
SKILLS & COMPETENCIES
Self-starter with superior attention to detail and organizational skills.
Excellent interpersonal and communication skills, both oral and written.
Proficient in Microsoft Outlook, Word, and Excel.
Familiarity with PDF programs (Adobe, Nuance) and Document Management systems is an asset.
Proven ability to manage multiple tasks in a fast-paced, deadline-driven environment.
Ability to work independently and function effectively as part of a team.
Demonstrated customer service orientation and problem-solving ability.
Ability to quickly learn and adapt to new systems and procedures.
Basic knowledge of office equipment (e.g., photocopiers).
Comfortable with physical tasks including lifting (up to 40 lbs.), bending, and moving items.
Ability to handle confidential and sensitive information with discretion.
Confident, polished, and professional presentation.
Strong work ethic, “can-do” approach, and positive team attitude.
QUALIFICATIONS
Community College education or equivalent combination of work experience.
Two to four (2-4) years of experience in a similar service capacity is preferred.
Minimum of one (1) year of related hospitality and office experience, including experience working as a receptionist in a professional services environment.
Experience gained in the hospitality sector is considered an asset.
Legal office experience would be an asset but is not required.
Experience with mailroom services, courier management, document scanning, printing equipment is preferred.

The expected annual target salary offer for this role is $50,000, commensurate with experience.
