Consider this opportunity. Here is what you will be doing: Reporting to the Chief Strategy, Planning, Privacy, and Analytics (SPPA) and working closely with the members of the SPPA senior team. The Specialist, SPPA Programs, will manage the tracking, documentation, coordination, and reporting of progress against SPPA-led or supported priorities and initiatives across the organization as well as managing the day-to-day administrative support for the Chief, SPPA. This role includes serving as the primary point of contact for internal and external stakeholders on a wide range of matters, including coordination of critical meetings, correspondence, managing and maintaining timelines as well as documents and SharePoint sites, and handling team coordination and new employee onboarding requests. The Specialist requires a high level of collaboration and teamwork, proficiency in project management as well as a keen sense of tact, diplomacy, and customer service. Here is what you will need to be successful: Program Management and Support Applies project management skills to support the documentation, coordination, tracking, and reporting of progress against team priorities and initiatives including financial tracking where appropriate. Organizes and supports the facilitation of team planning sessions to advance multifaceted workplans. Develops, optimizes, documents, and standardizes sustainable processes across the portfolio, sharing best practices with all teams within the portfolio. Coordinates with business partners in finance and HR to maintain appropriate monthly and quarterly tracking of team performance. Project Coordination Leads and participates in a variety of projects in varying roles as assigned by the Executive. Monitors progress against project plans, tracks and follows-up on risks, and accurately reports progress against team milestones. Develops strong working relationships and maintains open communication across the SPPA leadership team and key team members. Follow-up on team member commitments and proactively identify issues and risks. Analyzes and consolidates project scorecards or other related artefacts. Supports the success of team employee engagement objectives and provides guidance for change management initiatives. Handles team coordination and new employee onboarding processes. Business Support Manages and coordinates day to day office operations including but not limited to SPPA senior team, SPPA people leader, and SPPA townhalls. Provides preliminary review, and compilation of materials prepared for the Executive’s review, or in preparation of meetings. Prepares meeting packages for key committees and working groups (agendas/presentations), attends and records proceedings, prepares and distributes minutes, communicates committee decisions, and initiates and/or completes any required follow up to facilitate desired outcome of meetings. Provides preliminary review, and compilation of materials prepared for the Executive’s review, or in preparation of meetings. Successfully completes critical aspects of deliverables with a hands-on approach, including correspondence that is sometimes confidential, and other tasks Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows-through with team members to ensure deliverables are completed on time, often with deadline pressures. Education and Experience Graduation from a college or university; or equivalent education and experience 3 to 5 years’ project or program management experience or equivalent 3 years’ experience in providing executive level services and support PMP designation or active progress toward PMP designation Experience working with senior executives and external stakeholders Experience with management of financial and legal documents is an asset Knowledge and Skills Ability to exercise sound judgement and maintain confidentiality, at all times Political acuity and effective stakeholder management and relationship building skills Exceptional organizational, time-management, critical thinking, and problem-solving skills High degree of professionalism, flexibility, and adaptability.
