We’re currently looking for an Administrative Assistant to work in our Vancouver studio to support local Partners. The role also includes support of our San Francisco Studio and its Partners. The ideal candidate will have all round general administrative and studio services experience and be very familiar with coordinating meetings, maintaining calendars, and booking travel. You will be an active part of the DIALOG Administration team, be present in our Vancouver studio at least 3 days per week, and contribute to our dynamic, collaborative work environment.

How you'll make a difference:
Provide flexible, reliable administrative support to Partners in Vancouver and San Francisco
Maintain calendars, and coordinate and book meetings
Timely completion of timesheets and expense reports
Prepare and submit annual continuing education credits on behalf of Partners
Coordinate travel as required
Maintain project files and documents, including proposals, contract agreements, and sub-contracts
Support project teams by preparing reports, conducting research, compiling and summarizing data
Provide back-up reception duties
Manage Studio Services tasks for San Francisco Studio
Participate in event planning
Ad hoc tasks as required
Who you are:
A graduate of a post-secondary administrative program or related discipline is preferred
8 years or more of high-level administrative experience
A self-starter with excellent organization and self-motivation skills, and ability to work with little supervision and direction
Ability to proactively make decisions and prioritize tasks with little guidance
Intermediate to advanced skills in Microsoft Office (Outlook, Word, Excel, PowerPoint)
Excellent spoken and written communication skills
Comfortable in a fast-paced environment
Demonstrated ability to work in a team environment and independently is essential
Organizing and prioritizing assignments while taking the initiative to follow through on pending items
Nice to have:
Architecture, Engineering, and Construction or Consulting industry experience
Proficiency with InDesign
Experience with ERP and CRM systems
