Reporting to the Manager, the Specialist, Operations performs the day-to-day operations for the delivery of dynamic and complex health workforce programs by coordinating and leading program activities, operationalizing and monitoring tasks, and leading comprehensive document/contract management and tracking. The Specialist, Operations is responsible for key operational tasks for specific programs including providing front-line service to healthcare employer and stakeholder requests, maintaining database records, referring clients and stakeholders to appropriate resources, and preparing program reports. Here is what you will be doing: Provides front-line support for often urgent health human resources requests by providing timely, knowledgeable responses to inquiries from internal partners or external clients and stakeholders. Provides direct program support to clients and stakeholders participating in health workforce programs with an excellent working knowledge of health workforce solutions. Provides timely and diplomatic customer service and issues management to stakeholders to problem solve, communicate, and resolve all manner of administrative and logistical issues required to support health workforce programs under significant pressures and tight timelines. Establishes and maintains positive relationships with relevant stakeholders to provide exceptional customer service, accurate advice, and resources. Ensures accurate and timely processing of program applications and documentation required to provide services (e.g. matching individuals to opportunities, processing payments). Consistently conducts detailed and accurate review of program applications and documentation to help determine program eligibility. Monitors program usage while proactively identifying program trends/potential issues for leadership. Assesses and develops operational policy recommendations for leadership, to improve overall program performance and operational efficiency. Facilitates registration and provides technical support for large group webinars on various topics aimed at external stakeholders and health professionals. Monitors website and other external communications for accuracy and consistency, and provides recommendations for improvements and updates as required. Works collaboratively with other department staff to proactively identify and resolve operational issues, share information and best practices. Identifies and escalates program/operational risks to the Manager; proposes recommendations to address the issues identified. Works with the program team and leadership to develop, document, and implement processes and standards for accurate and consistent data processing and document management within their area of expertise. Creates and maintains accurate program records, with a superior understanding and approach to record keeping. Prepares and analyzes program reports leveraging data from a variety of sources within their area of expertise for program evaluation and ongoing program status updates, as required. Maintains IT solutions and data management systems (Salesforce, SurveyMonkey, Sharepoint, etc) with a focus on accuracy, completeness, and data integrity. Performs cross-functional and/or other duties as assigned. Here is what you will need to be successful: Education and Experience Master’s degree preferred or Undergraduate degree in an appropriate discipline (health, social sciences, political sciences, or another relevant field) or equivalent combination of education and experience. Minimum three (3) years of experience in non-profit, healthcare, and/or government sector. Knowledge and Skills: Current knowledge of the hospital/health care sector and health human resources issues. Experience leading/enabling small to medium-scale strategic projects preferably related to the field. Demonstrated successful project management and change management experience. Superior people skills, including the ability to develop and maintain collaborative working relationships, consult, influence, and build consensus with stakeholders. Excellent research, analytical, and problem-solving skills. Commitment to excellence, continuous learning and high attention to detail including planning, goal setting, reporting, and analysis. Demonstrated analytical skills to prepare and maintain spreadsheets, use databases, produce accurate reports, and to report on trends, key issues and recommendations. Highly motivated with the ability to work independently. Detail-oriented and process-driven with a demonstrated ability to consistently and effectively produce high quality work. Effective oral and written communication skills to maintain stakeholder relations with an emphasis on customer service delivery and consultation. Ability to exercise discretion to maintain confidential and sensitive personal information. Excellent ability to analyze and interpret complex information to deliver a solution that meets the program needs. Must be able to understand the needs of diverse stakeholders to develop effective solutions and assess impact of recommendations for change. Strong technical skills and relevant experience to support the facilitation of webinars for large groups of clients and stakeholders. Familiarity with customer relationship management databases (e.g. Salesforce), and strong working knowledge of MS Office Suite (Outlook, PowerPoint, Excel, and Word).
