Our client, a prestigious Am Law 100 firm, is seeking an experienced Legal Secretary (Client Service Specialist) to provide high-level administrative and litigation support at their Century City office. This hybrid role requires a polished professional with at least 8 years of litigation experience in a law firm environment, ideally within a large or Big Law firm setting.
This is a critical support role within the Litigation Practice Group, offering the opportunity to contribute to a high-performing team and deliver exceptional client service in a fast-paced legal environment.
Key Responsibilities:
Maintain a consistent in-office presence to support collaboration, cross-training, and effective workflow.
Serve as a key liaison for client communications, meeting coordination, and attorney support.
Draft, edit, and proofread litigation documents such as pleadings, motions, subpoenas, discovery, and correspondence.
Ensure all documentation complies with court rules and firm standards.
Manage billing and administrative tasks, including time entry, expense reporting, new matter openings, and document preparation.
Organize and maintain physical and electronic case files; track court deadlines and manage calendar updates.
Coordinate court filings (State and Federal) and apply subject matter expertise in litigation protocols.
Support discovery and e-Discovery processes, including document review and vendor coordination.
Arrange travel, manage schedules, and provide deadline tracking support.
Work overtime as needed based on case volume and client demands.
Required Skills & Qualifications:
8+ years of litigation legal secretary experience in a law firm setting (Big Law preferred).
Advanced understanding of State and Federal court systems and e-filing procedures.
Proficiency in Intapp Time, Chrome River, iManage, and Microsoft Office (Word, Outlook, Excel, PowerPoint).
Skilled in legal document formatting, grammar, and compliance with firm and court standards.
Strong organizational, communication, and multitasking abilities in a high-volume environment.
Team-oriented mindset with a professional, client-service approach.
Associate’s or Bachelor’s degree preferred.
Notary certification is a plus.
Salary & Benefits:
Base Salary: $76,000 – $108,000 (commensurate with experience)
