About us:
University Family Housing is comprised of two 21 story residential towers and a unique stock of 83-century homes. The department provides housing to student families, faculty families and long-term residentialtenancies in two neighbourhoods on the St. George Campus to over 3000 adults and children, and provides on-site property management services, as well as educational and recreational programming for tenant families.
Your opportunity:
Under the direction of the Housing Administrator, the Housing Assistant is responsible for assisting the Administrator in maintaining a positive quality of student life in the Charles Street Student Family Residence. The primary responsibilities are to provide front-line customer service and to facilitate an open and easy flow of communication between all staff and contractors working at the residence. Other responsibilities include: entering, completing and monitoring electronic work order submissions, coordinating appliance deliveries; booking elevators and meeting rooms; issuing laundry cards; storage and bicycle lockers; parking spaces for tenants and external parkers; reviewing contractor work schedules; closes tenant files; drafts various tenant letters; the collection and recording of rental payments, residence database maintenance; handling work orders; key control; mail distribution; answering routine residence queries and ordering office supplies.
The Housing Assistant communicates with various departments and service providers on campus, such as Admissions & Eligibility, Campus Safety, Facilities & Services and Spaces & Experiences. The Assistant is responsible for appraising the Housing Administrator, Manager,Admissions & Housing Services and/or Director of any residence issues that may become a problem, as well as deals with day-to-day issues as part of the overall function of the position. The Assistant acts as Housing Administrator in their absence.
Your responsibilities will include:
Responding to enquiries within the defined scope of the role and redirecting as appropriate
Checking residence database to confirm resident identification
Applying established standards to control the distribution of access to designated University spaces
Performing routine building checks
Liaising with facilities or caretaking staff to facilitate resolution of building issues
Ordering supplies within established limits
Essential Qualifications:
College Diploma (2 years) or acceptable combination of equivalent experience.
Minimum two years administrative experience in a customer servicerole, preferably in a residence environment. Experience in a customer service role is necessary.
Must be proficient in MS Word and Excel.
Must have strong written and verbal communication skills as well as excellent customer service skills.
Must be tactful, professional and objective in dealing with residents.
Good judgment, discretion and a pleasant and helpful attitude are essential.
Must be organized with strong ability to multitask
Must possess the ability to work independently as well as in a team setting.
Must display a willingness to take initiative in solving routine problems.
Assets (Nonessential):
Working knowledge of StarRez would be a strong asset.

USW Pay Band 07 -- $59,172. with an annual step progression to a maximum of $75,673. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
