The work
Providing organizational and operational support in the development and execution of all National events. The Event Marketing Specialist reports directly to the Manager, Event Marketing. The candidate will assist with event campaigns for Single Family, Commercial Lending, Deposit Services, Digital Banking and Corporate programs, and is based out of the Toronto office. She/he will be responsible for various event projects, while adhering to a high standard of quality. This role is an important part of how Equitable Bank fosters broker loyalty, education and brand awareness. This role will have an opportunity to participate on assignments and projects that will enhance career development and growth.
The core responsibilities
Assists the Manager, Event Marketing in creating an annual nationwide event calendar that consists of a large volume of events coast to coast.
Planning, coordinating and executing the Bank’s involvement in conferences, trade shows and self-hosted events.
Takes the lead on certain events and projects such as education sessions, trade shows, virtual events, and annual golf tournaments.
Executes the Bank’s two largest public facing initiatives the Annual General Meeting and the Bank’s annual industry Mortgage Professional Canada appreciation soiree.
Visits venues to plan layout of seating, menu, stage design and décor.
Coordinates event logistics including registration and attendee tracking, presentation and materials support, research venues, attends site visits, negotiates and secures event spaces.
Fosters and maintains strong and ongoing relationships with external partners including event managers for brokerages and broker associations.
Organizes and maintain inventory of event materials such as; booths, banners, projectors, computers, and other display materials including mailing them out when needed and tracking them down after.
Attends large-scale events to ensure their success by working closely with venue staff and being available to resolve any issues that may occur on the spot, creating a seamless experience for attendees.
Acts as a first point of contact to the Single Family, Commercial, and Wealth Solutions sales teams to ensure representatives are aware of all upcoming events and their role required at each.
Participates in the Equitable Social Corporate Responsibility lead the coordination of company events such as The Holiday Party, Team Building and Summer Party.
Flexibility to work evenings (15%), some weekends (10%), and travel nationally (10%) for onsite meetings when required.
Support Art Curator with the execution of the EDAA including all event logistics related to the event.
Administration
Maintains accurate and up?to?date records for all event management projects.
Manages and tracks a database that records sponsorships, prizes and incentives received by brokers.
Maintains the National Events Calendar and Wealth Solutions Event Calendar in conjunction with the Manager, Event Marketing.
Maintains current information in corporate databases for business contacts, sponsors and vendor lists.
Develops event specific organizational tools such as itineraries, event schedules, calendar invites, join links and guest lists.
Provides research support and completes tasks required for event execution.
Coordinates marketing requests for printed materials, brochures, signage, digital assets, videos and other marketing pieces.
Provides key support to overall team operations by planning internal staff meetings, preparing meeting agenda.
Manager of the MLSE TFC/Raptors account and manage the ticket distribution to designated attendees for upcoming games. Obtain guest information for record keeping.
Supports BU with renewals of association memberships including adding/removing individuals and paying invoices
Lets talk about you!
Minimum of 2 years’ experience in event planning
Post-secondary or collage certification in Event or Hospitality planning preferred
Intermediate knowledge of Microsoft Office including Word, Outlook Excel and PPT
Excellent verbal and written communication skills, with the ability to build relationships
Exceptional organizational and time management skills to work independently on multiple projects simultaneously
Solid knowledge of event design, flow and logistics
Ability to present in front of large groups both internally and externally
Must be able to lift up to 30 lbs. in situations of setup and/or supply deliveries
Strong proactive mindset with the ability to work well with tight timelines

The incumbent will be working hybrid and in office time will be spent working from Equitable Bank’s additional office space located at 351 King Street East, Toronto, ON.
