Responsibilities: Payroll Processing • Ensures the accuracy of gross payroll calculations by country and/or province – (salaries, overtime, bonuses, terminations) as well as deductions applied • Ensures that payroll production deadlines are met according to the established schedule. • Establishes control measures to be applied ensuring data accuracy between HR and payroll systems. • Follow-up with Human Capital, Finance or IT teams when potential issues are identified. • Informs the Director of identified issues and risks and proposes applicable control measures. • Takes charge of the year-end process and coordinates the various activities in the process, including annual declarations and financial statement information. Team Leadership • Leads and supervises the payroll team, ensuring that team members are trained and efficient in payroll processing. • Ensures the distribution of tasks in the payroll process among payroll team members. • Conducts performance appraisals and provides feedback for continuous improvement. Legislative & Systems Compliance • Ensures compliance of payroll code configurations and legislative application • Conducts financial compliance analyses of GLs provided • Provides recommendations and guidelines in complex situations • Develops and standardizes processes to simplify and increase team efficiency • Participates with the HRIS team in process reviews and improvements when integrity issues are identified • Ensures validation of roles and responsibilities assigned at system level • Document recurring legislative changes impacting payroll, propose solutions including a financial analysis of impacts and alternatives Employee Support and Communication • Acts as an expert for employee payroll inquiries, providing clear and accurate explanations. • Informs employees on payroll processes, tax deductions and other payroll-related topics. • Resolve discrepancies related to payroll and applied deductions. Financial Controls & Audit • Identifies issues in current processes that have a financial impact and proposes solutions. • Produces/proposes financial reports to support corporate initiatives. • Works with Human Capital and Finance teams to identify potential costs of new initiatives. • Validates compliance of government remittances and ensures that potentially required accruals are provided for financial statements. • Ensures that payroll processes are subject to strict internal controls to avoid errors, fraud and non-compliance. • Prepares and facilitates internal and external audits of payroll processes and documentation. Qualifications • A bachelor’s degree in accounting, Finance, Human Resources, or a related field is typically required. • A minimum of 7 years in the payroll field. • A professional certification in payroll management from the NPI, minimum of PCP ideally LAP. • Solid knowledge of payroll systems and Microsoft Excel • Strong knowledge of Canadian tax laws • Good knowledge of financial and payroll reporting and analysis • Excellent attention to detail and high level of accuracy • Excellent communication and interpersonal skills • Ability to handle confidential information with discretion and professionalism • Problem-solving and conflict resolution skills.
