Administrative Assistant The successful candidate will act as the first point of contact for inbound inquiries and office visitors/guests in addition to performing a variety of administrative and support services. What you’ll do Acts as a “first point of contact” for incoming calls and visitors responding to routine inquiries. Inputs information into appointment calendars of various managers as required. As directed, prepares and circulates agendas and related information for meetings and arranging meetings. Prepares, edits and formats various documents, reports, spreadsheets and/or presentations. Validates Payroll for unionized employees at the terminal. Maintains filing systems and adheres to records retention schedule. Prepare and submit Purchase orders to support the team. Maintains office and equipment. Orders office supplies. Receives, sort and distributes incoming and outgoing correspondence. Completes accounts payable vouchers, submits invoices for payment and may reconcile purchase card statements. Supports and assists other office functions as required, and other related duties as required. What you bring to our team Computer proficient with demonstrated ability in the use of spreadsheet, databases, communication, and word processing software applications. Strong interpersonal and communication skills. Proven ability to work effectively within a team environment. Ability to organize and prioritize activities to meet deadlines. Minimum of three (3) years related experience. Grade 12 or equivalent and an administrative / business office certificate or Certificate of Administration (preferred).
