As the Accounts Payable Specialist you will be responsible for the processing of invoices and expense reports.
WHAT WILL YOU BE DOING?
Code invoices to general ledger account
Responsible for obtaining necessary approvals from Senior Leadership
Record expenses/invoices in INDOCHINO’s financial reporting software to general ledger accounts and cost centers
Perform three-way matching between PO, invoice, and goods/services receipt to validate vendor billing
Responsible for preparing weekly payment proposal to ensure vendors are paid on a timely basis
Print, review and obtain necessary signatures on weekly cheque run
Mail cheques, via courier/Canada Post as necessary
Resolve any invoice and payment discrepancies and advise on issuance of stop payments when necessary
Responsible for filing and maintenance of AP invoices and finance records
Work on monthly unentered invoices list to assist finance with period-end accruals,
Understand expense report process, prepare the appropriate journal entries, and verify that the appropriate approval on the expenses have been obtained
Update and maintain vendor database, AP aging and flag any unusual vendors or vendors that are not frequently utilized
Verify vendor accounts by reconciling monthly statements and related transactions, and resolve disputed payables on a regular basis
Verify that transactions comply with financial policies and procedures, and internal controls
Prepare all payroll related entries for both Canada and US and post them in the accounting system
Assist in the preparation and coordination of month end and year end audit
Assist with process implementation and streamlining to improve operating quality
Assist Controller on any ad-hoc activities
WHAT DO YOU NEED?
Certificate or Bachelor’s Degree in Accounting / Finance (or working towards) is preferred
Working knowledge of Sage X3 is required is
Retail industry experience would be considered as an asset
Experience with Doclink would be considered as an asset
Attention to detail, ability to process large volume data input with minimal error
Ability to establish good self-review on work performed
Strong written and spoken communication skills and great interpersonal skills
Detail oriented, ability to show initiative and take responsibility
Strong excel skills is an asset
Passion for driving results, and proven results-orientation
Strong organizational skills, with a demonstrated ability to work independently and in a team
Ability to work on multiple projects, prioritize, and manage a high-volume of tasks, deadlines, requirements, and decision
