Position Summary:
The Assistant Program Lead, Student Group Services (SGS), plays a vital supporting role in ensuring the success and smooth delivery of SGS’s wide range of student-focused programs and services. Reporting to the SGS Program Lead, this role is ideal for someone with a passion for student development, strong organizational and interpersonal skills, and a proactive approach to operational support.
This role supports the daily operations of SGS, helping to manage logistics, coordinate communications, implement programming, and assist with supervision of student staff. The Assistant Program Lead will also work closely with student group leaders, university partners, and internal teams to ensure students receive consistent, high-quality support in their co-curricular journeys.
Key Responsibilities:
Program Support & Delivery:
Assist in the coordination and implementation of SGS programming and services.
Help maintain and update SGS resources, toolkits, and training materials to ensure relevance and accessibility.
Support promotional efforts through the preparation of newsletters and outreach materials.
Serve as a front-line contact for student group inquiries and provide guidance on policies, registration, and events.
Support conflict resolution and mediation processes in collaboration with the SGS Program Lead.
Event Planning & Support:
Provide logistical and planning support for SGS events such as Clubs Fair, training session, and student leader networking events.
Help manage the transition and implementation of student group event approval responsibilities within the UASU.
Administrative Operations:
General administration of the service, including application processing, document review, as well as maintaining and organizing databases.
Provide direct student service, including responding to email, phone, and in-person inquiries in a timely and professional manner.
Maintain accurate records, databases, and filing systems related to student groups and programming.
Troubleshoot the platforms used for managing student groups.
Assist with the scheduling and logistics of SGS events, meetings, and workshops.
Staff Supervision:
Provide mentorship and help foster a positive, inclusive working environment.
Provide backup support to other staff within the SGS program as needed.
Assessment & Improvement:
Assist in the collection of feedback and data for the evaluation of SGS programs.
Identify and propose improvements to programming, services, and operational processes.
Minimum Qualifications:
Eligibility to work in Canada.
Knowledge of student groups and co-curricular learning environments.
Strong interpersonal skills.
Strong creative thinking and problem-solving skills.
Strong verbal and written communication and organizational skills.
Demonstrated ability to work both independently and collaboratively in a fast-paced environment.
Proficiency in administrative software such as Google Workspace, Microsoft Office, and Mac OS.
Availability to work on-site and to work flexible hours, including some evenings and weekends during the academic year.
Preferred Qualifications:
Experience supporting or supervising student staff or volunteers.
Familiarity with University of Alberta student group structures and SGS programming.
Experience with event planning and/or facilitating workshops or training sessions.
Exposure to learning management systems like eClass/Moodle, and tools like Articulate 360.
Experience in conflict resolution or peer support.
Training in supportive listening, mental health first aid, or suicide intervention (e.g., ASIST or safeTALK).

Term: This position is a full-time position for a two-year term.
Location: This work is primarily in person on the University of Alberta campus. Hybrid work may be accommodated; however, not during the first few weeks of each semester or during the weeks we have key events.
