What you’ll do:
Promptly answer telephone in a warm and inviting manner
Operate a multi-line telephone system, transferring calls to appropriate executive, sales representative or department
Respond to customer emails in a timely manner
Coordinate and process customer payments, customer accounts, petty cash and cheque requisitions
Distributes mail and coordinates all courier pickups
Coordinate and process all necessary documentation and payments for the service department
Organize, maintain, and coordinate Company records and files in their proper locations
Assist in the compilation of data for various reports
Acquire basic knowledge about the dealership, in order to be able to respond to inquiries for general information
Provide information to customers on various dealership promotions
Answer basic customer inquiries or direct customer to appropriate personnel
Prepare and reconcile gas vouchers
Stock in new and pre-owned cars
Print Carfax and Safety to complete car files
Other duties as assigned
Qualifications:
A passion for customer service and Automobiles and experience in automotive industry an asset
1-2 years of experience in a fast paced administrative role
High degree of resourcefulness, flexibility, and adaptability
Ability to apply understanding to carry out instructions in written, verbal, or diagram form
Strong knowledge of Microsoft Office products, including Excel and Word
Able to maintain filing systems and basic database
Excellent analytical and problem-solving skills
Superior telephone manners and strong interpersonal skills
Able to effectively communicate both verbally and in writing
Able to build and maintain lasting relationships internally and externally
