What is the Opportunity?
In the role of Proposal Specialist, you will be part of a vibrant Business Development Team, assisting in the management, production, coordination, and development of proposals and credential packages, that support the firm’s growth and strategic efforts. Working closely with Entuitive’s Leadership team and technical experts, you will ensure quality and accuracy of materials and messaging across all markets while elevating the firm’s brand. Entuitive is seeking a highly motivated Proposal Specialist based in Calgary, Toronto or Ottawa.
What will you do?
Manage and coordinate the proposal process from start-to-finish to ensure top-quality, competitive, and compliant responses to comprehensive RFPs, RFIs, RFQs, RFSOs and related documents.
Read, analyze, and interpret client documents to identify possible red flags, develop a comprehensive list of deliverables for the submission, identify questions for the client
Develop a proposal management plan with deliverables, responsibilities, and timelines, and develop templates for the submission as required
Manage the bid kick-off and proposal planning session, ensuring that all key proposal stakeholders are represented and well-informed
Work with the pursuit champions and technical teams to develop win themes and key differentiators
Write and edit thoughtful, tailored narratives focused on meeting or exceeding the client and/or project’s requirements
Monitor progress of the proposal process with timely follow-up to ensure internal proposal deadlines are being met
Draft, edit, assemble, and review proposal copy for compliance, accuracy, and content, and coordinate / participate in review sessions with team members to ensure the integrity of all documents
Develop visually engaging, creative documents, utilizing visual communication and user experience design principles
Participate in the development, maintenance, and coordination of content, tools, and templates for ongoing improvement of the proposal management process and improve asset management
Conduct debriefs with clients and develop lessons learned for the improvement of future proposals
Stays abreast of marketing best practices, market and industry trends, companies, and competitors to support decisions with respect to marketing and business development initiatives
Mentorship of junior staff
Other duties and responsibilities as may be assigned
Diploma or degree (preferred: Business, Marketing, Communications, Journalism, English)
Minimum of 5+ years of experience working within a proposal or BD team is required
Experience working in the Architecture, Construction, or Engineering (AEC) is highly desirable. All other professional service experience will still be considered
Proficient in Microsoft Office Suite tools including Word and PowerPoint
Proficiency working with the Adobe Creative Suite, primarily Adobe InDesign, Illustrator and Adobe Acrobat
Excellent writing, editing, and formatting skills, with an ability to interview, technical subject matter experts to develop written content
Experience preparing responses to RFP/RFIs, writing and editing technical content, developing win themes and key differentiators, researching internal and external sources for relevant content
Ability to effectively deliver quality work with a sense of urgency and a high degree of attention to detail
Strong project management and time management skills, with the ability to manage tight deadlines and competing priorities
Good judgement and problem-solving skills with the ability to work in a team environment
Stellar client service skills along with the ability to communicate effectively (verbal and written) with individuals at all levels of the organization as well as external parties
Flexible and able to manage competing priorities and multiple tasks
Ability to work overtime, if needed. We work hard to maintain a good work-life balance, but overtime may be needed on specific submissions or busy periods

How does collaboration happen?
All positions require in-office presence 3 days a week. Building strong relationships and collaborating internally is important to us! Collaborate virtually for the remainder of the week.
