The Executive Assistant’s primary function is to support C-suite executives, perform a wide variety of complex executive assistant, management dashboard reporting and action item management tasks requiring initiative, independent thought and judgment. This position will be dealing with confidential and sensitive issues requiring a high degree of discretion and tact. Key Job Functions/Responsibilities Responsible for providing administrative support to C-suite executives/Head of Business. Handle highly sensitive and company confidential information. Responsible for planning, coordinating client and associate meetings, and events. Manage the C-suite executives/Head of Business schedule on a daily basis. Prepare presentations, documents, letters, emails and invitations. Compile management dashboards and reports, based on inputs from leadership groups. Attend management meetings, preparing agendas, taking and distributing minutes, tracking action items and following up on open items. Interact and co-ordinate with leadership teams and business unit heads as required to complete activities. Co-ordinate activities across Broadridge Canada offices and teams, for ONE CANADA activities. Co-ordinate and manage travel arrangements, including flights, hotels, conference registrations, cars and all meeting/event and dining reservations. Manage senior team’s co-ordination of calendars and all scheduled Canada events. Provide administrative support as required, including reception and office management activities and support other EA’s during their time off. This position is a hybrid role, candidate will be required to be on-site 2-3 days/week. Basic Skill Level Requirements Education: Bachelor’s degree or equivalent (specialized college certification) or equivalent experience Experience: 5+ years senior administrative support experience including advanced knowledge of office administration practices and corporate protocol Ideally, some event management experience Skills: The ideal candidate will possess excellent verbal and written communication skills, with the ability to communicate clearly, professionally, and diplomatically across all levels of the organization. They should be comfortable preparing high-quality correspondence, handling confidential information with discretion, and representing the executive in a polished and articulate manner Highly organized with an ability to manage deliverables and outputs, to proactively ensure action items are completed on time Ability to work under pressure and manage multiple tasks Professional demeanor with superior organizational and communication skills Demonstrated ability to work with highly confidential and sensitive information Advanced proficiency in Excel, PowerPoint, Outlook and Word and solid working knowledge Recruitment Process Throughout your application process, you may be asked to connect with us virtually or in-person.
