Purchasing & Telecom Coordinator
Location - Vernon, BC
Role Description
The IS Purchasing and Telecom Coordinator is responsible for procuring technology & services to meet the computer and telephony needs of Kal Tire’s day-to-day operations, which includes the management of renewals of IS 3rd party vendor contracts and optimizing/analyzing the use of said plans and contracts.
Responsibilities
Contract and Vendor Management
Builds solid working relationships with procurement and telecom vendors.
Demonstrates strong written and verbal communication skills with the ability to negotiate deadlines and resolve conflicts with key vendors.
Establish baselines and targets and hold vendors and partners accountable to agreed deadlines and deliverables.
Proactively manages contracts/ looking for cost savings opportunities.
Supply & Inventory Management
Responsible for all Information Services Inventory Management Processes
Manages the Procurement Lifecyle of all hardware and software assets.
Create and maintain reports and/or dashboards for management consumption.
Mobile Device Management
Manages the procurement of mobile devices and telecom services plans following Kal Tire mobile device policies, including upgrade and early replacement programs.
Manages the inventory of Kal Tire mobile devices and telecom services plans.
Proactively analyzes telecom services billing and usage, produces management reports, and recommends changes to telecom services to optimize cost or efficiency.
Locations
Coordinates IS equipment, Internet services, and contracts, ensuring everything is in place and ready to meet business needs for moves, acquisitions, renovations, and new location openings.
Authorizes and coordinates service calls, schedules appointments between service providers, vendors, and locations requesting installation or experiencing issues; and verifies problem resolution with locations and team members.
Administration
Maintains lists of key contacts and escalation processes for partners and vendors.
Adheres to the Procurement, Incident, Service Request, and Change Processes used by the IS department.
Document all work-related processes and follow a methodology to keep them current.
Prepares and delivers informative, well-organized presentations and communications.
Will participate in a coordinator capacity on various IS projects related to the role.
Job Requirements
Work Experience
Minimum 3 years of experience in an inventory/procurement role.
Experience working in a medium to large enterprise department with complex technology environments.
Knowledge, Skills and Abilities
Advanced working knowledge of software products such as ITSM, Asset Management, and Microsoft Office.
Ability to manage small projects.
Ability to compile information from a variety of sources for presentation to technical and business decision makers.
Ability to document processes and procedures to be consumed by other teams.
Ability to build and maintain strong relationships with key internal and external stakeholders.
Superior time management skills that demonstrated the ability to manage timelines, coordinate multiple concurrent activities that involve team members and external service providers.
Base knowledge of VOIP and Telephony would be an asset but not required.
Base knowledge of network infrastructure, including equipment and circuit types would be an asset but not required.
Education
Post-secondary graduate with a degree, diploma, or certificate in Business or Computer Management or equivalent combination of education, training and experience.
Special Requirements
Infrequent travel may be required.
Infrequent evening and weekend work may be required.
