Job Description
One of Canada's largest growing companies is looking for an Administrative/Planning Coordinator to join their team. The person in this role is expected to rapidly become efficient in the SAP and IFS ERP systems to manage a demanding workload throughout various administrative and project coordination tasks. This opportunity will start as a 3 month opportunity.
Key Responsibilities:
Monitor and resolve parked and blocked invoices in coordination with Accounts Payable, Procurement, and Vendors.
Investigate invoice discrepancies, purchase order mismatches, and goods receipt issues.
Maintain accurate records of invoice status and resolution timelines.
Utilize Microsoft Excel to track, analyze, and report on invoice metrics and procurement data.
Develop and maintain Excel dashboards, pivot tables, and VLOOKUPs to support reporting needs.
Collaborate with internal stakeholders to streamline invoice processing and improve workflow efficiency.
Assist in vendor communication and follow-up to ensure timely invoice resolution.
Participate in process improvement initiatives and system enhancements.
Essential Skills
2+ years of experience in an administrative role with a focus on supply chain, logistics, or project coordination.
Strong customer service skills as there will be frequent communication with vendors and internal teams.
Experience using ERP systems.
Proficiency in Excel, including pivot tables, formulas, VLOOKUP, and XLOOKUP.
Strong data management skills.
Additional Skills & Qualifications
Experience in manufacturing or aerospace industry is a plus.
Familiarity with IFS and SAP.
Post-secondary degree in supply chain management, business administration, or a related field.
Data analysis skills.
Accounts payable experience, specifically with the 3-way match process, is a plus.
Work Environment
This is an in-office position in a collaborative environment with morning team meetings. The work hours are from 8 am to 4 pm, Monday to Friday, with the possibility of overtime as required for the project. The team operates with a family feel environment, a flexible work schedule, and an open-door policy.
Pay and Benefits
The pay range for this position is $31.25 - $31.25/hr.
