The incumbent works independently with an oversight from the supervisor. The position directly supervises some support staff. Contracts are mainly with the colleagues in the same duty station to exchange information and to discuss the work plans. External contacts are with the national and local authorities for gathering and exchange of data. All UNHCR staff members are accountable to perform their duties as reflected in their job description. They do so within their delegated authorities, in line with the regulatory framework of UNHCR which includes the UN Charter, UN Staff Regulations and Rules, UNHCR Policies and Administrative Instructions as well as relevant accountability frameworks. Duties - Monitor the regular data entry activities and verify accuracy and relevance of data on a regular basis. - Prepare regular database back-ups. - Coordinate the data transfer of refugee records amongst camps. - May be required to collect GIS data, update maps and undertake field trips to project sites. - Ensure that the data which are mainly related to asylum seekers, refugees and persons of concern to UNHCR are correctly entered into the computer databases. - Develop and run the required reports from the databases used in the operation including ProGress database and assist in analysis/interpretation of data to identify patterns/trends. - Compile data and interpret the statistics for various reports. - Develop forms and tools for data collection and analysis. - Identify knowledge and hardware gaps of the operation in relation to all aspects of data management. - Decide on data recorded in the database. - Decide on appropriate resolution to incidents. - Escalate issues to supervisor if the incident cannot be resolved within area of responsibility. - Support the identification and management of risks and seek to seize opportunities impacting objectives in the area of responsibility. Ensure decision making in risk based in the functional area of work. Raise risks, issues and concerns to a supervisor or to relevant functional colleague(s). - Perform other related duties as required. The Senior Data Management Associate will be responsible for overseeing all aspects of data that support our fundraising efforts. This includes managing our constituent database, data warehouse, and business intelligence (BI) application. We currently utilize Salesforce as our Customer Relationship Management (CRM) system. This is a management-level position. The role supervises one direct report, the (Donor) Database Associate, and manages relationships with external vendors, including our data processing partner KCK and our BI provider. Additionally, the successful candidate will receive strong support from both regional and HQ teams, including Salesforce and BI specialists who can provide training and hands-on assistance. This position has end-to-end responsibility for data management across the entire fundraising operation. The Senior Associate will provide key support to daily operations during a critical period, as we complete our transition to Salesforce. The role involves managing the team to ensure the smooth operation of all donor information systems, including maintaining data integrity, performing updates and corrections, supporting data enrichment, and executing reporting and segmentation tasks. Key Responsibilities Data Management: - Manage the use, maintenance and technical support of databases used in the operation, including planning and overseeing data collection, input and verifications; production of standard and ad hoc reports. - Oversee the organization’s database systems, ensuring data accuracy, integrity, and security. - Perform majority of the core day to day data processes, revenue imports, data requests, and data selections - Co-lead the ongoing systems migration project - Support in the development and implementation of data management strategies, processes and standards. - Serve as the primary liaison between the data team and our data processing vendor - Regularly update and maintain the database, ensuring current and accurate information. - Perform data cleanup and deduplication activities. - Perform data cleanup, transformation, de-duplication and migration activities. Database Administration: - Monitor database performance to ensure it is operating at optimal levels. - Ensure compliance with data privacy laws and organizational policies. Data Analysis and Reporting: - Prepare reports and data analyses to support organizational decision-making and strategic planning. - Collaborate with various departments to provide data insights and support program evaluation and improvement. - Generate statistical reports based on the standard reporting formats and ad hoc reports, charts and tables as required by the management and fundraising teams. Technical Support: - Provide training, as necessary, to UNHCR staff as well as vendors in aspects of data access and management. - Troubleshoot and resolve database related issues in a timely manner. Documentation and Compliance: - Help to create and maintain comprehensive documentation of database systems, procedures, and protocols. - Ensure compliance with data management best practices and regulatory requirements. - Conduct regular audits and assessments to identify and mitigate risks. Team Collaboration: - Work closely with fundraising team including Individual Giving and Major Gifts team to support data driven initiatives. - Foster a culture of data literacy and promote best practices for data management across the organization. - Participate in cross functional team meetings and contribute to organizational strategy discussions. - Perform other duties, as required.
