Job Summary:
Coordinate and provide administrative support for all aspects of the WorkSafe/Prevention Department’s training, partnerships, sponsorships, educational events and resource material needs. Work effectively with internal and external dependencies to develop, administrate and execute excellence in customer service on behalf of the WorkSafe/Prevention Department. This position is responsible for drafting objectives for new partnerships and sponsorships and maintain the overall coordination and communication of several existing partnerships and sponsorships.
Duties & Responsibilities:
Develops WorkSafe Sask OHC Training Calendar on a semi-annual basis, including determining the number and mix of sessions occurring during a particular period.
Develops and administrates on-line registration pages for each training sessions and department events, ensures registration information is accurately maintained and fields all external registrant calls and emails.
Coordinates scheduling of Prevention Consultants to OHC training sessions, considering other work assignments (audits, assessments, report-writing), in-office weeks, EDOs, etc, to ensure that work/travel is equitably distributed.
Coordinates shipping and tracking of all WorkSafe/Prevention Department training, resources and supplies. Administrates tracking numbers and follow-up to ensure delivery where applicable. Answers inquiries from staff (received in person or by phone or email) relating to delivery of training and resource materials.
Liaises with employers to meet requests for on-site delivery of “special” training sessions, considering existing departmental commitments to the public training calendar, audits/assessments and staff availability.
Coordinates annual Regional Workshop and any other larger department events as required. Secures venue, coordinates logistics with vendors, determines marketing strategy in conjunction with Communications department, liaises with speakers, exhibitors and staff, and develops meeting support materials.
Coordinates and arranges venues, catering and AV support as required for approximately 200-250 WorkSafe/Prevention Department training sessions annually. Confirms arrangements in advance of each training event to ensure logistics run smoothly on site.
Develops and maintains Department Trade Show calendar. Manages registrations to trade shows and monitors follow up requirements: printed materials, logo wear, pop up banners / WorkSafe booth.
Coordinates and provides manual material handling of all shipping and tracking of all WorkSafe/Prevention Department training, resources and supplies. Maintains inventory control of education and promotional materials, logo wear, and other printed materials. Monitors inventory and times ordering of materials to ensure adequate stock levels to support department activities at all times. Develops projected logo wear requirements and costs for department manager.
Develops, administers and prepare reports for WorkSafe/Prevention Department staff on event and training registration, event feedback surveys, inventory and resource distribution, and outcomes of partnerships and sponsorships. Collaborates in the development and implementation of improvements to the reporting process to ensure relevant, useable data is collected.
Prepares and forwards Certificates of Attendance or other communications for all WorkSafe training and events where required. Maintains accurate records of attendance for all WorkSafe/Prevention training and events.
Maintains document control process related to WorkSafe/Prevention Department resource and training material updates. Collaborates in the development and implementation of improvements to the document control process.
Provides onsite support where required for WorkSafe, WCB events and tradeshows.
Provides general administrative support to the Prevention Department on request including correspondence, phone messages and preparation of meeting minutes.
Develops and maintains a process to support the intake of requests and a decision matrix for management to determine partnership and sponsorship approvals, in a fair and equitable manner.
Maintains a comprehensive list of all existing WorkSafe Partnerships and Sponsorships, and evaluates their performance to ensure the delivery of intended outcomes.
Supports management to forecast expense budget related to implementation, maintenance and execution of existing partnerships and sponsorships.
Coordinates meetings for management with identified partners to gather the relevant information needed for decision making.
Responsible for drafting content for contracts to be reviewed by Legal and acquiring Contract Number through Finance. Coordinates the contract signing process between external partners and management. Maintains an effective filing system for access to the contracts and supporting documentation.
Receives, files and records receipt of required documents / information from the funded Safety Associations and advises Manager, Prevention (or QA/QC) of any missing / late documentation
Acts as a liaison between the Prevention Department and the Communications Department to ensure timely and accurate responses to media requests. This includes the proactive development of key messages and speaking notes for review and delivery by management on emerging and/or seasonal issues.
Qualifications:
Two (2) years completed post-secondary in Business Administration or other related program. A certificate and/or experience in project management would be an asset.
Two (2) years successful experience demonstrating competence in the following:
Event management, including ground-up planning, coordination of logistics, and on-site execution, managing online registration systems, and event support.
Researching, developing content and creating messaging which take into consideration the audience, platform, and needs of management and/or stakeholders.
General business practices, including budgeting, business writing, marketing/communications, and managing a complex schedule.
Excellent interpersonal skills, with an ability to work and interact with a wide range of staff and Strong communication skills with all levels of management including internal and external stakeholders.
Gather and analyze data from various sources in order to draft reports and make recommendations.
Proficient computer skills in Word Processing, Spreadsheets, Databases and online event support tools (eg, Eventbrite, or similar) in order to accurately develop and maintain databases.
Working knowledge of business practices and procedures.
Ability to multi-task, and prioritize tasks within established time frames.
Knowledge of WCB legislation, policies and procedures.
Ability to safely lift up to 35 lbs (16 kgs)
Valid Class 5 driver’s license.
