Job Summary Job Description What is the opportunity? The Branch Audit Coordinator will support the Dominion Securities Branch prior, during and after to their branch audit. This opportunity is a 1 year contract role. What will you do? Supervision/internal controls email the WMFS Branch Audit Coordinator after the branch supervision/internal control calls have been completed advising that a particular Dominion Securities (DS) branch would like an insurance preparation call. The WMFS Branch Audit Coordinator contacts the Branch Review Team (BRT) to obtain upcoming branch audit dates at least 3 months prior to audits and sets up the Branch Audit Preparation call 4-6 weeks prior to the DS branch audit date via email. This individual does the prep work prior to the audit call by generating and reviewing the policy listing for that branch. This is completed by cross-referencing the IA’s licensing against the monthly insurance reports provided by registration and the policy listing. The WMFS Branch Audit Coordinator reviews the out of province policies, and policies where the owner and the primary insured are not one in the same by looking at the complete address. The WMFS Branch Audit Coordinator sets up a meeting with the DS branch and reviews the spreadsheets to familiarize and outline some of the potential issues the DS branch may face during their audit. Transfer Ins Agent of Record policies that come into the firm within the last 24 month are also highlighted as the WMFS Branch Audit Coordinator views samples for the audits. The WMFS Branch Audit Coordinator conducts the DS branch audit preparation call with a brief overview using a PowerPoint presentation, reviewing, and addressing the policy listing comments. Branch Audit Coordinator addresses questions throughout the call which ranges from a ½ to an hour for larger DS branches and will provide the PowerPoint, Branch Audit Checklist, and the policy listing via email after the call. The WMFS Branch Audit Coordinator address post audit call queries until their branch audit is completed via email and will email the EPS and teams that are listed as servicing advisors advising that an audit will be taking place. The WMFS Branch Audit Coordinator uploads missing insurance documents to the branch insurance folder a week prior to the audit as the DS branch will receive an email from the BRT on which insurance policies will be reviewed.
