URGENT: Administrative & Outreach Assistant (task management experience is required)

Description
Conduct outreach to municipalities, cities, and transportation departments using Collin’s tools and templates
Manage follow-ups and basic email communication
Support lead generation and data management via Apollo or similar tools
Update and organize insurance documentation
Process and track custom merchandise orders
Conduct manual checks and online research as needed
Assist in managing scheduling and follow-up emails
Learn and use Tana, Apollo, and other AI/sales tools (training provided)
Help manage files, notes, and records related to business activities
Organize and archive before-and-after images of client results or product deployments
Provide basic content support for case studies or documentation
Help triage client’s email inbox and highlight high-priority threads
Organize inbox responses and ensure timely attention to client or lead inquiries
Hard Requirements:
2–3 years of experience in administrative, VA, or project coordination roles
Tech-savvy and comfortable learning custom platforms and tools
Excellent written and verbal English communication skills
Detail-oriented, organized, and capable of handling multiple priorities
Proactive and able to work with minimal supervision
Experience with startups, city outreach, tech, or public sector engagement is a plus
Schedule:
20 hours per week
Monday to Friday
9AM - 1PM US Pacific Standard Time Zone
Offer and Benefits:
$3-$4USD/hour
HMO coverage after 1 year of employment.
