REPORTS TO: Supervisor of Operations Administration
LOCATION: Initial Placement – Burford Administration Office
Minimum Qualifications:
Post secondary school education in Administration or a related field, or equivalent combination of education and experience
1 - 2 years of administrative support experience
Proficiency with MS Office, Adobe Acrobat, Smartsheet and ability to learn other software
Excellent data-entry, organizational, filing, and customer service skills
Demonstrated excellent verbal and written communication skills
Ability to work in a fast paced, highly regulated, team environment
Ability to maintain professionalism while under pressure and meeting deadlines
Demonstrated tact and diplomacy skills and the ability to handle confidential matters with discretion
Ability to identify issues, problem solve and implement continuous improvement initiatives
Proven initiative, strong work ethic, and ability to maintain positive working relationships
Valid driver’s license and access to a vehicle
Assets:
Previous experience with operations administration such as processing permits and invoices, billing, and records management in a municipal or utility setting
GIS knowledge, ticket/work order software experience such as MESH, Cityview, City Wide
Familiarity with engineered drawings and experience with records retention practices
Duties:
To provide administrative support services to the Operations Department, which includes Roads and Fleet, Environmental Services, Engineering and Infrastructure, and Infrastructure and Asset Management Divisions
Process and coordinate Service Disruption Notices, Public Works Permits, Water Disconnection Sign-Off, and Hydrant Flow Tests
Process invoices and prepare accounts receivable requisitions
Order supplies
Records and document management
Attend on-site meetings and prepare agendas, correspondence, and minutes
Maintain and circulate contact lists, and maintain Indigenous communication logs
Respond and track public inquiries and complaints while providing good customer service.
Schedule customer appointments
Prepare weekly water samples
Prepare water meters and sale sheets for purchase and liaise with meter billing contractor
Draft and circulate Environmental Services notices
Ensure adherence to regulatory requirements
Provide back-up coverage to other Operations Administration staff as needed
Other duties as assigned
Annual Salary Range: $60,169 - $70,379 (Job Grade 3) 35 hours per week #LI-DNI
