Acting as a key point of contact for both internal and external stakeholders, this person ensures seamless coordination of daily responsibilities and facilitates cross-departmental communication.With a proactive mindset, strong organizational skills, and great attention to detail, the incumbent excels in managing priorities, anticipating needs, and handling sensitive information with professionalism and discretion. Each task is carried out with care, contributing to a structured, efficient, and harmonious environment around the CEO.Key Responsibilities:Executive Schedule & Priority ManagementManage and optimize the CEO’s agenda, including meetings, travel, and prioritization of commitments based on business needsAnticipate needs and prepare relevant materials, documents, or reports for meetingsBalance urgent matters with long-term objectivesMeeting Coordination & Follow-UpOrganize and coordinate executive and cross-departmental meetings, handling logistics, invitations, and documentationTake meeting minutes, compile follow-ups, and ensure timely completion of action itemsCommunicate decisions and next steps clearly to all relevant stakeholdersCommunication Liaison & Online Presence ManagementServe as the main point of contact for internal and external communications on behalf of the CEOManage the CEO’s professional presence on platforms like LinkedIn, creating content aligned with Rodeo FX’s brand and missionDraft, edit, and disseminate messages, announcements, or strategic communications with accuracy and styleRelay CEO directives to management teams and ensure they are clearly understood and implementedDocument Preparation & Information ManagementDraft, review, and structure presentations, proposals, and reports for the CEOOrganize and maintain both physical and digital files for secure and efficient accessOversee record-keeping to support decision-making and operational efficiencyTravel & Logistics ManagementPlan and manage all CEO travel logistics: bookings, itineraries, travel documents, and real-time adjustmentsEnsure alignment with internal policies and budget considerationsPrepare relevant background materials and documentation for external meetings or eventsSpecial Projects & Strategic InitiativesSupport key company initiatives or special projects as requested by the CEOAssist with research, analysis, and report writing on strategic topicsRespond with agility to unexpected or emerging needsQualificationsProven experience as an administrative assistant or in a similar role supporting senior executivesExcellent organizational and time management skills; ability to handle multiple prioritiesStrong writing, oral communication, and presentation abilitiesProficiency with MS Office and digital productivity toolsDiscretion, confidentiality, and sound judgment when handling informationExcellent spoken and written proficiency in both French and EnglishThe person in this role will work closely with our teams in Toronto and Los Angeles.
