Applications are invited for the regular position of part-time Program Assistant in the Academic Upgrading Division. The starting salary is $22.83 /hr for a 24-hour work week. Additional hours may be required at peak times during the year, such as the start or end of term. The position is located at the Hamilton office.
Reporting to the Associate Director, Workforce Development and Community Partnerships, the successful candidate is responsible for providing comprehensive administrative and program support to faculty, student advisors, and students within the Literacy and Basic Skills/Academic Upgrading Program at Niagara College's Hamilton site.
Key responsibilities include delivering program information via telephone, email, text, and in person; performing reception duties; and assisting the Program Administrator with student registration and various program-related tasks. The role requires the ability to manage multiple responsibilities simultaneously with accuracy, meet tight deadlines, effectively prioritize tasks, and consistently demonstrate a professional and welcoming demeanor.
Responsibilities include, but are not limited to:
Acting as the first point of contact for inquiries via phone, email, text, and in person
Providing detailed program information to students, faculty, staff, and community partners
Triages and escalates student concerns, complaints, and service requests to appropriate staff
Scheduling academic advisor appointments for prospective and current students
Maintaining a professional and welcoming reception environment
Communicating updates using email, SMS tools, Brightspace announcements, or printed notices
Liaising with external partners and agencies as required
Provides administrative support to advisors, coordinators, faculty, and the Associate Director, preparing reports, records, or other support material for use or anticipated use
Monitors inventory and orders supplies for office, faculty, staff, and student needs
Maintains records for office supplies and related budget expenditures
Troubleshoots basic technical issues
Qualifications:
Two (2) year diploma in Office Administration, Business Administration, or a similar field of study
Minimum of three (3) years' experience working in an office administration environment
Ability to work in an environment where diversity of people and situations are encountered
Ability to manage, organize, and coordinate workload to meet deadlines, and to deal with multiple priorities
Excellent computer literacy skills, advanced proficiency using database management systems, familiarity with operating systems, and presentation software applications
Superb customer service and relationship management
Excellent communication skills, both verbal and written
