EPCOR’s Water Services group (EWS) is excited to offer a full-time temporary opportunity—up to 18 months in duration—for an Administrative Assistant to join our Linear Asset Operations Team, based at our Aurum site in Edmonton, Alberta.

What You’ll Be Doing:
As the Administrative Assistant, you’ll play a key role in keeping the team organized and running smoothly. Your day-to-day responsibilities will include:
Coordinating meetings, preparing schedules, and recording minutes
Drafting, formatting, and distributing internal communications and presentations
Managing records and maintaining data accuracy
Investigating and resolving purchasing and facilities-related issues (e.g., clothing orders, building safety concerns)
Acting as the go-to expert for navigating internal administrative processes
Supporting the planning and coordination of team and company-wide events
This role is ideal for someone who is proactive, detail-oriented, and enjoys problem-solving. You’ll need to manage multiple priorities and take initiative to ensure tasks are completed efficiently and effectively.
What you’d be responsible for
As the Administrative Assistant reporting to the Director of Linear Asset Operations, you’ll play a vital role in keeping the team organized and running smoothly. Your responsibilities will include:
Executive and Team Support:
Provide daily administrative support to the Director, including calendar management, meeting coordination, and event planning. Anticipate needs and act independently to ensure smooth operations.
Office and Operational Administration:
Manage calendars, meeting agendas, and minutes; maintain confidential reports; support business planning; and register staff for internal events. Handle general office tasks such as mail distribution, service requests, key tracking, and supply inventory (shared responsibility).
Procurement and Financial Coordination:
Process purchase orders, invoices, and P-Card reconciliations. Respond to finance-related inquiries and assist with clothing orders, telecom billing, and expense submissions.
Employee and Facilities Support:
Coordinate onboarding/offboarding tasks, including IT equipment, access, and relocations. Liaise with service providers for facility's needs (e.g., janitorial, security, telecom) and assist with safety issue resolution.
Communication and Information Management:
Maintain bulletin boards and design/manage SharePoint sites to ensure content is current, accessible, and engaging. Proofread and edit documents as needed.
Collaboration and Coverage:
Work closely with other admin staff to support cross-functional needs and provide backup coverage when required.
What’s required to be successful
Qualifications, Experience & Skills:
High school diploma (GED or equivalent).
Minimum of 5 years of related administrative or office experience.
Strong organizational skills with the ability to manage multiple priorities, meet deadlines, and work independently.
Excellent written and verbal communication skills, including the ability to draft professional correspondence and proofread documents.
Proven problem-solving skills, with the ability to navigate internal processes and collaborate across teams.
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, SharePoint).
High attention to detail and ability to develop systems that support efficient workflow and service delivery.
Assets:
Post-secondary diploma in Business Administration.
Advanced skills in SharePoint site design and management.
Familiarity with utility operations.
Experience using IVARA.

Final Wage and Step will be determined at the time of selection and is based on a combination of factors as outlined in CA that may be found online.
Hours of work: 40 hours per week – Monday to Friday
