About the Role
The Human Resources Assistant is responsible for the consistent flow of day to day HR operations, including the management of HR data into existing system as well as providing HR related reports and works closely with the Human Resources Manager.
RESPONSIBILITIES:
Maintenance and data entry into agency databases
Ensuring all HR files and data are kept under strict confidentiality
Accurately entering and maintaining data within the agency databases in line with licensing and COA accreditation requirements.
Preparing, maintaining and organizing HR and Training related files
Accurately producing, filing and storing documents into personnel files, including data entry and document filing.
Preparing standardized offers of employment and other employee related documentation.
Obtaining and verifying information for employee records
Maintaining both manual and HR system employee personnel files.
Organizing and maintaining in-house agency training.
Processing provincial and federal security paperwork.
Maintaining employment training documents, scheduling mandatory training.
Preparing and maintaining job posting files, posting new jobs, and tracking applicants
Full cycle of recruitment.
Coordinate communication with candidates and schedule interviews
Maintaining HR Calendar and other duties as assigned.
Benefits Administration
Perform registration and audit functions for benefits administration
Performing the internal audit function of employee set up
Tracking eligibility dates for employment benefits and assisting new hires in enrollment
Ensuring accuracy of monthly benefit statements and changes
Entering approved changes to employee payroll records
Reconciling pension contributions monthly
Participate in ad hoc projects as required
Requirements
Any combination of two years directly related to education and/or experience
Ability to act with tact, good judgment, and discretion; maintaining confidentiality of files,
personal information and other matters as appropriate.
A positive attitude and customer focused approach.
Proficient in Microsoft applications, and 60 wpm typing with accuracy.
Must have a demonstrated ability to organize and prioritize a variable workload.
Understanding of general human resources policies and procedures
Confidence in using a variety of computer programs and database platforms.
Must pass a vulnerable sector criminal records check.
Union experience is an asset.
Benefits
Base salary: $52,000 per annum
