Integrated Care Solutions is seeking a highly organized and dedicated Human Resources Coordinator to join our team on a one-year contract supporting the Transitional Care Unit in Ottawa. This hybrid position requires two days onsite with the remainder of the workweek remote. In this role, you will work closely with the Human Resources Business Partner and the National Service Centre to provide efficient HR support, ensuring smooth operations and fostering a positive employee experience within a fast-paced healthcare environment.
Key Responsibilities:
Human Resources Administration
Support day-to-day HR activities within the Transitional Care Unit.
Maintain and update employee files ensuring all required documentation (professional registration, performance reviews, certifications) is current and accurate.
Process terminations, resignations, leaves of absence, and other HR actions in compliance with company policies and HR systems.
Assist with employee payroll and benefits inquiries alongside Payroll and Benefits Coordinator(s).
Respond to employee verification requests and escalate complex situations appropriately.
Manage key fobs, security access cards, and other employee-related logistics.
Support onboarding processes including new hire paperwork, technology requests, and file audits.
Track leaves of absence (including maternity/paternity, personal, AWOL) and coordinate return-to-work documentation.
Prepare and distribute monthly employee communications such as newsletters.
Participate in quality assurance and continuous improvement initiatives.
Maintain confidentiality of all employee and corporate information.
HRIS & Systems Management
Utilize PeopleSoft and Procura systems to update employee information, credentials, and employment status.
Generate reports on probationary periods, attendance, and credential renewals to assist management.
Support Talent Acquisition team with transitioning new hires into HR systems.
Health & Safety
Participate proactively in health and safety initiatives and report any concerns.
Collaboration & Communication
Work closely with the HR Business Partner, managers, and other HR Coordinators to improve processes and support staff.
Engage with Employee Advisory Committee activities, including meeting attendance and minute-taking.
Education & Experience:
Completion of a recognized Human Resources certificate or diploma program.
1-2 years of progressively responsible HR experience, preferably in healthcare or a unionized environment.
Skills & Abilities:
Strong interpersonal and communication skills with the ability to handle sensitive situations objectively and professionally.
Detail-oriented with excellent organizational and time management skills.
Proficiency in Microsoft Office and HRIS systems (PeopleSoft experience is an asset).
Ability to work independently and collaboratively in a dynamic environment.
Valid driver’s license and access to a vehicle preferred.
