Research and Program Coordinator, College of Medicine
Primary Purpose: The Research and Program Coordinator plays a dual role in supporting the delivery and operational success of the Master of Physician Assistant Studies (MPAS) program. This position determines the steps, processes, and timelines required to achieve program objectives, applying specialized expertise in research administration, curriculum delivery, and academic program coordination.
The position is responsible for, 1) navigating and supporting research-related activities across faculty, students, and curriculum; and 2) coordinating program operations, course delivery logistics, and administrative support for academic activities for the Medical Foundations course.
Working both independently and collaboratively, the incumbent analyzes current and emerging needs, designs and implements solutions, and acts as a key resource for faculty, students, and external partners. The position integrates academic planning, research navigation, and operational coordination to ensure the program is positioned for success across multiple terms.
Nature of Work: Reporting to the Academic Director and Program Manager, the Research and Program Coordinator exercises significant autonomy in planning and managing activities that impact the academic quality and operational effectiveness of the MPAS program. The role requires translating program goals into actionable plans, anticipating and mitigating risks, and making informed decisions on resource allocation, timelines, and workflows.
This position engages in medium-term planning, mapping academic and research activities over the course of an academic year or longer, while ensuring alignment with accreditation standards and institutional requirements. The incumbent is expected to act proactively, identify opportunities for improvement, and implement strategies that enhance the learning experience, research outcomes, and program efficiency.
Success in the role requires strong judgment, the ability to synthesize information from diverse sources, and the skill to coordinate across multiple stakeholders, including faculty, staff, students, and external collaborators.
Typical Duties or Accountabilities:
Research Navigation and Academic Project Support (0.5 FTE)
Designs and manages processes to support faculty- and student-led research, including workflow development, milestone tracking, and the preparation and dissemination of scholarly outputs such as abstracts, posters, and presentations
Acts as the primary point of contact for research inquiries within the MPAS program, interpreting needs and directing faculty and students to appropriate institutional resources, funding opportunities, and research supports
Oversees the Capstone project process, developing timelines, coordinating communication with supervisors, monitoring progress, and ensuring compliance with program and institutional requirements
Collaborates with course leads to design and schedule research-related curriculum components, ensuring integration with the overall program plan
Manages the allocation and tracking of research stipends for student projects, ensuring transparent and accurate reporting
Coordinates student-led community engagement initiatives, determining the logistics, stakeholder engagement strategies, and documentation required to achieve project outcomes
Synthesizes research and curriculum evaluation data to prepare summary reports for program leadership, accreditation bodies, and other stakeholders.
Program and Course Coordination (0.5 FTE)
Develops and oversees the delivery plan for the Medical Foundations course, including term-by-term scheduling, identification of instructional resources, engagement of faculty and guest lecturers, and integration of assessment activities
Serves as a resource to course leads and instructors, providing strategic advice on course planning, sequencing, and delivery methods to optimize the student learning experience
Coordinates the work of committees, determining agendas in collaboration with chairs, preparing materials, and ensuring follow-up actions are completed within agreed timelines
Designs and maintains program-level documentation systems to track course plans, faculty contributions, and operational activities for internal planning, quality improvement, and accreditation reporting
Partners with the Education Program Specialist to integrate program calendars, academic milestones, and faculty schedules, anticipating and resolving conflicts
Works with the Director of Program Evaluation to coordinate the collection and analysis of exam-related data, performing basic psychometric review and identifying areas for instructional improvement
Leads onboarding processes for part-time instructors, guest faculty, and collaborators, ensuring they have the necessary information, resources, and administrative support to deliver their contributions effectively
Initiates and manages special projects as assigned by the Academic Director and Program Manager, determining project scope, timelines, and required resources
Education: Master’s degree in Education, Social Sciences, Health Professions Education, or a related field. An equivalent combination of training and experience may be considered.
Experience:
Minimum of 5 years’ experience in a post-secondary, research, or academic program environment
Experience supporting research coordination, data collection or analysis, or academic project planning preferred
Experience working with students and/or faculty in a support or advising capacity is considered an asset
Skills:
Strong organizational and project coordination skills
Excellent interpersonal and written communication abilities
High degree of professionalism, judgment, and discretion
Proficiency in Microsoft Office; familiarity with academic or research tools (e.g., Qualtrics, Excel, SPSS/NVivo, or other basic data tools) is an asset
Ability to manage competing priorities with flexibility and attention to detail.
