Job Description What is the opportunity? The Executive Assistant provides direct support to multiple T&O executives. You will be responsible for organizing schedules and correspondence to ensure operational effectiveness. You will prepare and support key meetings, events, communities and forums, including minute taking, action tracking and following up with relevant parties where necessary. The incumbent maintains calendars, maintains files and department expense reports, prepares and compiles correspondence, agendas, briefs, reports and analysis where required. What will you do? Manage and maintain executive calendars, coordinate meetings/conferences, ensure all materials/packages, and catering requirements are provided, track actions items. Act as the VP’s delegate for email and phone during absences, handle/forward issues, prioritizing for VP’s action upon return. Maintain appropriate records in managing the team, including preparing and verifying monthly expense claims and invoices, travel and other expenses, supplies, and updating vacation and absence for the executive team. Organize communication sessions, employee recognition celebrations, and other team events. Maintain global distribution list and distributes group-wide communications. Raise awareness among the team, extend invitations to key business partners, maintain effective knowledge of all relevant resources and services available within organization. What do you need to succeed? Must-have: Excellent interpersonal, communication (written and verbal) skills with the ability to work with all levels of management and staff. Ability to take initiative, prioritize tasks, function independently, and work as part of a team. Ability to handle sensitive and confidential information with discretion. Superior attention to detail, calm under pressure and confidence with strong reporting and analysis skills. Innate ability to develop and maintain constructive and cooperative working relationships with individuals at all levels of the organization. MS Office skills including MS Word, Excel, PowerPoint, Outlook and RBC systems and tools. Nice-to-have: Ability to anticipate needs, be resilient in challenging situations and persevere to get the job done. Professionalism, initiative, enthusiasm, energy, and a sense of urgency.
