As an Administrative Assistant, National Quality your responsibilities will
include cross-functional duties between two National Quality departments
(National Independence and Ethics and National Quality Monitoring). Duties
include, but are not limited to:
• Assist in all steps of personal independence audits and reporting as required
by department needs
• Maintain electronic files and documents, logs, tracking spreadsheet, emails,
and shared calendars, including formatting, redacting, and organizing documents
• Collaborate with administrative colleagues in other offices to arrange
logistics for in-person quality reviews, including coordinating hotel and
boardroom bookings, other onsite logistics, and related communications with
colleagues
• Administer surveys using Microsoft Forms, including compiling and formatting
results
• Develop a general understanding of internal policies, quality monitoring and
independence audit processes, and work towards assisting with related procedures
and reporting
• Follow-up with colleagues for documentation and to evaluate compliance with
instructions and policies
• Become proficient in department-specific software and produce reports for
system maintenance and compliance monitoring
• Monitor the department’s mailboxes and respond to enquiries or direct them to
the appropriate person
• Respond to professional and internal colleague requests and provide
assistance, including providing help entering investments, and uploading
documents to shared sites
• Adhere to the highest degree of professional standards

Think you’ve got what it takes to be an Administrative Assistant, National
Quality? Like the colour purple? Great. Here's a few more boxes we’re also
hoping you can tick:
• 3 + years of work experience in roles specifically requiring strong attention
to detail
• Basic knowledge of securities and understanding of investment statements
• Research skills or interest in learning research skills for investments on
internet financial reference sites
• Ability to work independently with minimal supervision, desire to learn, adapt
to changes, and interested in a challenge.
• Excellent verbal, written, and interpersonal communication skills – ability to
interact with colleagues comfortably and effectively at all levels of seniority
• Strong time management skills and flexibility to handle changing priorities in
a dynamic, deadline driven environment.
• Available to accommodate additional work hours on occasion, in response to
operational requirements
• MS Office (Word, Excel, Adobe, Power Point, Microsoft Forms, Teams)
