What you'll do
Task Assignment: Delegate work to team members efficiently
Document Handling: Save incoming files to folders and ensure organization.
Workflow Management: Oversee the team general emails and route incoming requests.
Mandates & Deadlines: Track tasks and due dates across team members.
Client Requests: Follow up for needed information to maintain progress.
Scheduling & Follow-Up: Keep workflows on track with timely follow-ups.
Budget Monitoring: Compare real-time work to budgeted projections.
Billing & Expenses: Manage invoicing Clients and reimbursable expenses.
Client Onboarding: Join onboarding meetings and prepare engagement letters.
Manager Updates: Communicate status and follow-ups with managers.
Reporting & Archiving: Organize monthly reports and backup files.
Year-End Prep: Alert managers when files are ready for review
What you need to succeed
Positive energy and enthusiasm that fosters a collaborative environment
A certain level of comfort using MS Office especially Excel and document management systems.
An understanding of accounting principles is a strong asset
2+ years of experience as an administrative assistant.
Strong organizational skills with attention to detail
Clear and professional communication with clients and colleagues
Reliable time management and task prioritization
A proactive approach to solving problems and improving processes
Fluency in English and a solid command of written and spoken French
