The Role
We're looking for an Executive Assistant & Project Manager to provide
comprehensive and strategic support to our Executive Chairman, Anna Sainsbury.
This isn't just an administrative role; it's a critical partnership for someone
who thrives on driving initiatives and managing complex operations. You'll need
exceptional organizational skills, unwavering attention to detail, and the
ability to proactively navigate and excel within our ambiguous, hyper-growth
environment.
The ideal candidate is a strategic thinker with impeccable communication skills,
a high degree of discretion, and a proven ability to anticipate needs and manage
competing priorities in a fast-paced, global setting. You'll enable the
Executive Chairman to focus on high-level strategy and decision-making by
seamlessly managing her demanding schedule and spearheading key projects. This

Key Responsibilities
- Executive Support & Coordination:
- Complex Calendar Management: Proactively manage and optimize a dynamic and
ever-changing calendar, including scheduling internal and external meetings,
conferences, and personal appointments, while anticipating and resolving
conflicts.
- Travel Management: Coordinate extensive domestic and international travel
arrangements, including flights, accommodations, ground transportation, and
detailed itineraries, ensuring seamless transitions and adherence to travel
policies.
- Communication Liaison: Serve as a primary point of contact, screening and
prioritizing communications (emails, calls, messages) and drafting
professional correspondence, presentations, and reports on behalf of the
Executive Chairman.
- Meeting Preparation & Follow-up: Prepare agendas, pre-reading materials, and
presentations for meetings. Attend meetings as required, take comprehensive
notes, track action items, and ensure timely follow-up.
- Expense Management: Prepare and submit expense reports, ensuring accuracy and
compliance with company policies.
- Information Management: Organize and maintain highly confidential files,
documents, and information, ensuring easy retrieval and strict adherence to
privacy protocols.
- Gatekeeping and Prioritization: Strategically manage access to the Executive
Chairman, effectively filtering requests and prioritizing urgent matters.
Project Management & Strategic Initiatives:
- Project Leadership & Coordination: Manage key projects and initiatives,
working closely with the Executive Chairman to define scope, objectives, and
deliverables. This includes developing project plans, managing timelines,
organizing resources, and monitoring progress.
- Stakeholder Management: Facilitate communication and collaboration among
internal teams and external partners involved in projects, ensuring alignment
and timely execution.
- Reporting & Analysis: Provide regular updates on project status, identifying
potential risks and proposing solutions. Assist with data gathering and
analysis to support strategic decision-making.
- Process Improvement: Identify opportunities to streamline workflows and
improve operational efficiency for both executive support and project
execution.
- Research & Preparation: Conduct research and synthesize information to
support the Executive Chairman's involvement in various projects and

- Knowledgeable. You have 5+ years of experience as an Executive Assistant in a
fast-paced environment. Working in a founder-led company is a bonus.
- Keen and proactive. You’re the kind of person who thinks outside the box and
acts on it. A real go-getter!
- Intuitive. You use your high emotional intelligence to read a room and
understand key stakeholders. What’s the best way to get something done?

- Excellent prioritization skills. The to-do list is as long as a Costco

- You're assertive and confident. You’re the kind of person who isn’t scared of

an easy-to-follow email.

$76,000 - $104,000 a year
We offer a competitive and comprehensive compensation package that includes a
base salary, semi-annual company and individual performance bonuses, equity, and
a dedicated professional development budget to support your growth. We also

that compensation will vary based on experience and the leveling determined
