The UBC Sauder Development and Alumni Engagement team has a mission to inspire involvement and investment in UBC Sauder to drive innovation, further business knowledge and lead change for a better world. The Alumni Engagement team strives to develop lifelong, meaningful relationship between the school and its alumni. The Alumni Engagement Officer is instrumental in developing and managing priority alumni relationships in the Lower Mainland, and across national and international markets, in order to advance the school’s strategic goals. Duties can range from developing, coordinating, and executing plans for events and services to advance the UBC Sauder Alumni Engagement program. Building a depth of knowledge on UBC Sauder alumni through research and relationship-building, the Alumni Engagement Officer works closely with the UBC Sauder leadership, other academic units and partners across campus to share this knowledge. The Officer also contributes to the development and strategy of alumni communications. This includes oversight of targeted email communications related to their portfolio, website maintenance and social media in consultation with the UBC Sauder Marketing and Communications team. This role requires a thorough knowledge of the activities undertaken by the UBC Sauder, as well as knowledge of alumni UBC and University policies and procedures. Alumni engagement outreach with volunteers and event activity may require work beyond the typical work day. Flexible work hours and ability to travel will be necessary. Organizational Status The Alumni Engagement Officer is a member of the UBC Sauder Development and Alumni Engagement team. Reports to the Manager, Alumni Engagement. Interacts with UBC Sauder Dean, Assistant Dean of Development and Alumni Engagement, the Development and Alumni Engagement team, UBC Sauder employees and faculty. Liaises with alumni UBC, campus and off-campus communities, alumni volunteers and the general public, and builds strategic partnerships to contribute to the successful execution of the school’s Alumni Engagement program. Work Performed Alumni Relations - Manages programming and events for alumni in provincial, national and international markets, including but not limited to: developing strategic relationships with key volunteers, consulting with UBC Sauder Marketing and Communications team on invitations and online communication pieces, preparing and managing budgets, ensuring the success of each event including promoting the idea of staying connected and engaged with UBC and UBC Sauder. - Identifies opportunities for partner events that would bring value to our alumni, leveraging relationships with both internal and external partners. - Leverages partnerships and collaborative opportunities with alumni and development professionals across campus to develop and ensure appropriate recognition, acknowledgement and stewardship programs are implemented for identified alumni. - Leads select community building initiatives aligned with priority areas for the school. - Leads the alumni reunions portfolio (including milestone graduation anniversaries, working closely with volunteer committees). - Liaises with alumni UBC on alumni events and communications (e.g., Homecoming, alumni UBC-led programming, partnership events, etc.) and builds strategic partnerships to contribute to the successful execution of the school’s Alumni Engagement program. - Manages relationships with senior and accomplished alumni identified as ambassadors and advocates for the University. - Facilitates alumni-to-alumni introductions for alumni seeking to expand their network or are looking for new opportunities. - Continually evaluates events, programs and communications and offers suggestions for improvement for maximum impact and cost-effectiveness. - Advances initiatives to connect students with alumni and welcoming recent graduates to the alumni community. - Identifies alumni worthy of nomination for awards and recognition, such as the UBC Alumni Achievement Awards, Alumni Builder Award, Honorary Degrees, community recognition programs, and alumni profiles. - Interacts with alumni and development professionals across campus on a routine basis to build strategic partnerships and collaboration. Alumni Research - Builds a depth of knowledge of alumni through research and relationship-building to identify engagement opportunities and advance alumni programs and services aligned with the school’s strategy. - Becomes well-acquainted with the skills and talent within the school’s alumni community and is a point of contact in the school for recommendations of alumni to sit on committees, be guest speakers, serve as graduation representatives, etc. - Develops and maintains a deep understanding of the University Information Management System (currently Blackbaud/Links), while ensuring accuracy and thoroughness of data integrity initiatives. - Initiates external research to ensure alumni outreach is as personalized as possible. - Generates reports and lists as required. - Interacts with alumni and development professionals on a routine basis to share information and protocols for the database. - Exercises tact and discretion when obtaining and disclosing confidential and sensitive information as appropriate, determining appropriate course of action, resolving details of unusual situations in the absence of established guidelines. - Performs other related duties as required. Consequence of Error/Judgement The Alumni Engagement Officer contributes to the public image of the UBC Sauder School of Business and ensures that visual, verbal and written communication is professional in appearance and tone. The incumbent liaises regularly with senior administration, prominent alumni, student leaders, and donors and is expected to exercise judgment, diplomacy, and tact in all interactions. The Officer is responsible for the timely and accurate information to be shared with peers. Must respect confidentiality of information handled. Failure to exercise appropriate judgment could increase direct costs, contribute to lost opportunities, damage the reputation of the unit, the school, and/or the University, and result in alienation of students, alumni members and volunteers, university faculty members and officials, and have a negative impact on internal and external relationships. Supervision Received Reports to the Manager, Alumni Engagement, Sauder School of Business. Works independently, under limited supervision. Sets priorities and performs most duties independently. Supervision Given May supervise student employees. Minimum Qualifications Undergraduate degree in a relevant discipline. Minimum of two years of experience in a post-secondary education institute that includes experience working with alumni relations, advancement, or the equivalent combination of education and experience. - Willingness to respect diverse perspectives, including perspectives in conflict with one’s own - Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusion Preferred Qualifications Training in office procedures, budget management and accounting. Experience in a relationship management environment is essential. Event management experience is preferred. Excellent interpersonal skills and demonstrated emotional maturity. Excellent oral and written communication skills and strong organizational abilities. Ability to prioritize and work effectively under pressure to meet deadlines. Ability to effectively manage multiple tasks and priorities. Ability to prepare and track budgets with an understanding of basic accounting principles. Ability to be thorough, accurate and have a high level of attention to detail. Ability to exercise tact and discretion when handling sensitive and/or confidential matters. Ability to analyze problems, identify key information and issues and effectively resolve. Customer service and solutions oriented. Comfortable interacting with senior community, university leaders, prominent alumni as well as with students. Ability to work independently, follow directions and contribute to a team environment.
