The Centre for Family Medicine is currently seeking a full-time (up to 35 hours/week)
Clinic Coordinator for a One Year Contract
to join our Family Health Team in our KW4 Prenatal Clinic. Our mission is “To provide leadership and excellence in comprehensive patient-centred primary care through education, research, innovation and care provision in a collaborative, sustainable, inter-professional environment”.
Position Overview:
The Clinic Coordinator will have front line contact with patients and support the medical team working mostly with pregnant women in their prenatal care. This team will consist of a Nurse Practitioner in partnership with WRHN and multiple family doctors in community.
Primary Duties and Responsibilities:
Book patients from hospital referrals
Greet and check in patients for appointments
Communicate with patients when required, using appropriate language lines and in person interpreters
Answer busy telephone lines and book appointments or triage appropriately
Create patient profiles in electronic medical record (EMR)
Scan and label documents appropriately into patient electronic charts
Collect and reconcile third party billing
Complete medical forms
Coordinate physician schedules
Create processes to support this clinic with other OB related work in community
and participate in other administrative tasks as required including back up for other clinics
Qualifications and Experience:
Post-secondary education - preferably related to health
Minimal 2 years’ experience in an administrative position in a healthcare organization - preferably primary care
Excellent information technology skills including working knowledge of Windows and Microsoft Office 365 - Excel
Experience working with a patient/client database system for booking, billing, scheduling, and retrieving information. Practice Solutions experience preferred
Excellent communications (written, verbal, and interpersonal) skills (additional languages are an asset)
Ability to multitask, prioritize and manage time effectively, in order to optimize productivity and meet critical deadlines with specific attention to detail in a fast-paced environment
Strong self-starter, able to effectively prioritize key tasks and deliverables with limited day-to-day direction, are a solution orientated thinker
Demonstrated ability to work collaboratively and take direction from health care professionals
Proven ability to keep confidential information regarding patients, health care providers, employees, business operations and team information
Comfort and experience working with non-English speaking populations, or through an interpreter.
