Detailed OverviewWithin the context of client service culture and in accordance with the established vision and values of Fraser Health, the Senior Inventory Analyst works as a member of an integrated team and in collaboration with the Manager or designate to ensure that the equipment, supplies and related requirements at the designated site are met.
Administers standing orders by determining re-order points and placing orders for stock required. Controls inventory content and performs routine and special ordering for applicable medical imaging personnel by completing purchase requisitions, liaising with BC Clinical and Support Services (BCCSS)/vendors for pricing and quote information and placing specialty purchase orders. Arranges for product demonstrations and coordinates the equipment/supply consignment process as requested. Updates computerized inventory database and generates reports for distribution regarding pick list for equipment and supplies. Under the direction of the Manager/designate, arranges for introduction of new equipment supplies into the department, expedites deliveries and receives and distributes goods. Performs clerical functions such as preparing and maintaining records and reports using applicable software applications.
Responsibilities - Administers standing orders by determining re-order points, placing orders for stock required, preparing purchase orders and contacting suppliers. Controls inventory content and levels of a variety of department equipment and supplies for designated area(s) by reviewing and analyzing reports from electronic inventory system such as inventory status and stock usage to ensure appropriate levels and conferring with users regarding requirements. Verifies information regarding purchases and oversees the preparation and maintenance of related reports.
- Places specialty purchase orders to external suppliers by receiving/requesting written requests for order from applicable personnel, checking to ensure item has been approved, determining the source, availability and price of goods, liaising with BC Clinical and Support Services (BCCSS)/vendors to place order and arrange for item delivery. Prepares follow up documentation for signature by Manager/designate.
- Maintains inventory system control and ensures users are aware of and follow correct procedures. Advises Manager/designate when supply has dropped below par level due to increase in use so that par level can be adjusted accordingly.
- Maintains established levels of equipment and consignment inventory by reviewing and evaluating departmental activity. Requisitions inventory and/or equipment/supplies in accordance with established policies and procedures. Reviews non-inventory purchases and recommends the addition of items to inventory. Responds to inquiries on outstanding requisitions and related requests for information.
- Communicates with users to obtain necessary information on purchase requisitions and problem orders, identifies department’s requirements, communicates purchase acquisition process to departments, advises of procedures to return goods and obtains purchase order from BCCSS. Assists physicians with obtaining Health Canada approvals, if needed, for specialized equipment.
- Completes purchase requisition orders for back-up or replacement items by receiving purchase requisitions, checking for accuracy and completeness, validating information including signature, identifying correct code for item requested, obtaining authorization from Manager/designate and forwarding documentation to BCCSS/vendor.
- Makes recommendations for the purchase of non-service specific and minor equipment or available equipment parts by investigating and assessing costs and availability of equipment and parts, identifying equipment for replacement, liaising with suppliers, staff, receiving quotations and referring information to Site Director for approval to accommodate changing demands. Liaises with external sales representatives to place orders for loaner equipment, trials of instruments and other medical supplies, as directed. Under direction from the Manager/designate, organizes delivery and maintains records for equipment and instrument loans to and from other facilities.
- Assists in the review of new equipment/supplies by contacting vendors and/or setting up appointments to obtain current information such as catalogues, prices or advertising material, reviewing journals/catalogues to source products, arranging on-site trials through designated channels and established procedures to maintain an awareness of emerging technologies/equipment to provide information in support of equipment planning needs.
- Works with the Manager/designate to coordinate the equipment consignment process including liaising with BCCSS/vendor representatives, maintaining consignment inventory, reconciling invoices, rotating stock and performing monthly/yearly audits.
- Liaises with BCCSS/vendors to obtain pricing information for requested items for trial by applicable physicians or other clinical staff, arranges product evaluations and demonstrations based on identified needs, obtains quotes for peripheral equipment repairs such as a biopsy gun, arranges meetings to discuss supply discrepancies and/or to review supplies in conjunction with designated personnel prior to placing purchase order. Requests current catalogues or information on estimated delivery dates and investigates problems, as needed.
- Verifies purchasing and standing orders by receiving returned invoices, comparing invoices to purchase orders and receiving reports to ensure prices are correct. Identifies all discrepancies and attaches applicable documentation for signature by Manager/designate. Contacts BCCSS/vendor regarding discrepancies and identifies and returns damaged/unused goods.
- Follows up on overdue/back orders to expedite purchase order by monitoring delivery dates from computer report, contacting vendors for delivery status or to discuss potential shipping problems and expediting late deliveries to ensure goods are received within required deadlines. Audits inventory levels by conducting regular and spot physical checks and comparing actual to recorded inventory levels. Investigates discrepancies and refers problems to Manager or designate. Reviews non-inventory purchases and recommends addition of items to inventory.
- Updates manuals by receiving changes from staff, entering data into computer, printing a hard copy for filing in manuals and departmental filing system to ensure that pick lists are accurate and up to date. Maintains and updates computerized databases utilizing various software packages for items such as supply usage, supply inventory and purchase orders by receiving and gathering information, inputting numeric data, printing files on disc, preparing custom reports and distributing reports, as appropriate.
- Updates inventory lists by receiving equipment and instrument information from designated staff, entering changes or new information into a computerized database in on-line mode and printing off lists for statistical purposes when requests. Maintains supplies and equipment catalogues including internal forms such as instruction sheets and booking request records in accordance with established inventories by completing purchase requisitions through Stores, Printing and external supplier, signing and forwarding, receiving goods and storing in appropriate areas.
- Sets up and maintains filing systems for items such as requisitions, purchase orders, BCCSS/vendor files, supply and equipment catalogues and correspondence by setting up computerized/hard files, inputting data into computerized spreadsheets, creating new files, updating directories/lists, alphabetically filing material in hard files and indexing material as appropriate. Purges old files and backs up computerized files.
- Performs other related duties as assigned.
QualificationsEducation, Training and Experience
Grade 12, and four (4) years’ recent related experience, or an equivalent combination of education, training and experience.
