Post End Date: November 4, 2025 at 11:59 PM This job advertisement is to fill an existing vacancy in the Administrative Professional (Employee Group) Please Note: This position is a fixed-term contract with benefits, set to conclude in November 2026 About the Role: Reporting to the Associate Director, Donor Relations, the Stewardship Specialist is responsible for strengthening donor relationships through comprehensive engagement, stewardship, and recognition programs. The incumbent will oversee the donor lifecycle of a gift while maintaining exceptional donor experience. In addition, the specialist will be responsible for driving and promoting a donor centric culture throughout alumni and development. The Stewardship Specialist works collaboratively with all Development and Alumni staff members who have shared responsibility for achieving larger donor relations and stewardship goals. The incumbent will aid in the development, implementation, and management of a university-wide endowment stewardship program designed to foster and nurture long-term, meaningful relationships between the University and its donors. The Stewardship Specialist will: Formulate and execute strategies and tactics that foster long-term relationships with donors and create integral high-touch engagement opportunities for alumni and donors; Plan and execution of donor centric communications, reporting, acknowledgement, and recognition, weaving in storytelling, and building trust through consistent, strategic, and meaningful contact in partnership with department colleagues; Provide input into in the expansion of the multi-year strategic and comprehensive donor programs plan to identify and deliver coordinated and integrated baseline communications to all donors including specific messaging for alumni donors; Maintain and track inventory of existing donor recognition signage and naming opportunities throughout the University and determine appropriate naming valuations for new naming opportunities, ensuring consistency with industry trends; Support driving a donor centric culture that promotes “exceptional” stewardship and creates integral touch points for stewardship and assure perpetual and mutually beneficial relationships with donors; Meet with internal stakeholders to ensure expectations are understood and goals are defined during the planning process; Create, document, and direct highly collaborative services to provide expert consultation and strategic programming to senior leadership, faculty, and development officers to strengthen and enhance the University’s relationships with all levels of donors, including individuals, alumni, corporations, and foundations; Implement and maintain donor stewardship infrastructure such as policies, guidelines and standards, and processes that support stewardship activities; Identify and develop new strategic and innovative communication and recognition opportunities for new and existing donors; Support ongoing efforts to leverage events organized within the University as opportunities for donor engagement and recognition and provide Advancement staff with the tools and training on how to use these events to engage donors in a meaningful way; Coordinate the preparation and distribution of endowment reports for all endowed fund holders; and Coordinate thank you notes from recipients of the gift to the donor(s). Key Skills and Experience: Undergraduate Degree in a relevant discipline; Experience in donor relationship, engagement, stewardship, and recognition programs; Professional experience in an alumni or development/fundraising environment, specifically engaging donors; Ability to create meaningful relationships; An understanding of University-level education and philanthropic environment in Ontario and Canada; Knowledge of Raiser’s Edge database; Ability to work in a fast-paced environment and execute events directly related to Advancement priorities; Computer proficiency in word processing, spreadsheet, database, and web applications; Highly developed relationship building skills; Excellent communication (written and oral) and interpersonal skills; Demonstrated leadership, including the ability to motivate, coach, mentor and encourage individuals and create a positive work environment; and Superior planning and organizational abilities with sound project management skills.
