Lawson Lundell LLP is currently seeking an Legal Administrative Assistant – Trademarks to join our busy Intellectual Property group, in our Calgary office. The successful candidate is an enthusiastic, quick-thinking, and hardworking team player, regular working hours for this role are Monday – Friday, 8:30am – 4:30pm.
While our preference is for the candidate to be based in our Calgary office, we may consider placement in another firm office location.
SUMMARY OF POSITION
Working within our Intellectual Property (Trademarks) group, the successful candidate will provide comprehensive, confidential legal administrative support to one or more professionals.
RESPONSIBILITIES
Manage daily operational tasks to ensure efficient workflows and timely completion.
Prepare, format, proofread, and transcribe legal documents and correspondence.
Process CIPO correspondence, assist with electronic filings, and support trademark prosecution.
Track deadlines, send reminders, and assist with client reports and responses.
Maintain accurate client records and update practice management systems.
Open and close client files, conduct conflict searches, and perform general administrative duties.
Communicate professionally with clients, legal professionals, and stakeholders.
Prioritize and manage incoming work to meet deadlines and advance case files.
Collaborate effectively with team members in a fast-paced environment
Collaborate effectively with team members in person and across western Canada
OTHER RESPONSIBILITIES
Schedule meetings, travel arrangements, and firm-related functions for lawyers.
Prepare and process expense reports for lawyers.
Manage incoming trust funds in accordance with firm procedures.
Assist with the review and payment of invoices.
Maintain organized electronic filing systems.
General administrative duties as required.
POSITION QUALIFICATIONS
Qualified as a Legal Administrative Assistant through an accredited program (preferred).
Possesses or is working toward one or more of the following accreditations (considered an asset):
Certified Trademark Administrator
Member of the Intellectual Property Institute of Canada (IPIC)
Demonstrates knowledge of the Canadian Trademarks Act, Trademarks Guide,
Demonstrates strong organizational skills and attention to detail.
Prioritizes duties and deadlines effectively to ensure timely completion of tasks.
Manages stress calmly and maintains professionalism under pressure.
Thrives in a fast-paced, dynamic environment.
Works independently, manages multiple tasks efficiently, and sets priorities effectively.
The typical salary range for this position is $60,000 - $80,000 annually; the base pay offered is based on location and may vary depending on job-related knowledge, skills, experience, internal and market equity.
