The Program and Administrative Support role provides critical operational and administrative assistance to the newly merged Marinucci Family Centre for Professional and Continuing Studies (CPACS) during peak periods of the academic semester. This position supports the successful delivery of project-based learning activities by coordinating registration, enrolment tracking, course setup, faculty onboarding, and stakeholder communications.
Working collaboratively with internal departments, faculty, community partners, and learners, the role ensures that all program activities are executed efficiently, accurately, and in alignment with College policies and strategic priorities. The incumbent also contributes to continuous improvement initiatives, data analytics, reporting, and event coordination to support the Centre’s long-term success.
What you’ll be doing:
Supports the administrative functions and operations of the newly created Marinucci Family CPACS, tracking project enrolments, student registration data and reporting:
Assists with registration, admission, pre-registration procedures including planning, scheduling, and coordinating tasks, creating new tracking systems that ensures confidentiality for students participating in learning activities and streamlines/enhances current processes in the Centre.
Generates POS, creates course CRNs for project activity each semester and tracks its progress to completion, while coordinating tasks related to course start, including cross-listing, competency tracking systems requirements and placement supervisor, faculty, staff onboarding.
Populates the student enrolment database confirming accurate and confidential data is secured relating to all programming.
Provide technical support and facilitate connections to College resources, including the digital technicians within the Centre.
Maintain flexibility in working hours, particularly during program start-up, and be available throughout the semester to meet with students and faculty to support the successful operation of department programs.
Communicates and ensures that College and departmental policies and procedures are followed to support students, faculty/staff, employers and funders:
First point of contact and resolution for all incoming communications (visits, emails, phone calls, etc.) from students, faculty and the general public and oversee Centre’s inbox(es); escalation to Program Manager as required.
Initiates correspondence to internal departments (e.g. Student Support Services, Business Solutions, Registrar’s Office, Payroll, satellite campuses, student records, scheduling, Administrative Coordinator) related to student/course information, grade changes, student withdrawals, classroom locations.
Arranges class schedules based on community, partner, faculty and Program Manager consultation.
Ensures all faculty have access to CRN’s, external stakeholder contact information and student information.
Assists with orientation of faculty assigned to project-related course delivery.
Liaises with faculty, student and community partners on issues that arise due to course/class delays or cancellation.
Communicates with community partners, sponsoring organizations, and internal college program areas regarding course start and end dates, times and location for project activity.
Solves problems arising from registration issues relating to information gaps, MyCanvas access, grading and graduation requirements.
Creates/tracks grade reports for students and summarizes program progress on a regular basis for the Program Manager.
Supports and coordinates initiatives in data analytics, proposals and events
Update project status databases, maintain filing systems, and prepare data for the leadership team related to program delivery.
Gather data and generate reports on activities, new initiatives, proposals, reviews, and submissions.
Assist in preparing new project proposals.
Assist in coordinating internal and external events.

What you’ll bring to the role:
A minimum of two-year post-secretary diploma/certificate in Office Administration, Business, Computer Studies or related field; or equivalent combination of education and experience.
Three years of practical and related experience in an educational environment where there is a strong emphasis on interpersonal skill and customer service, preferably a post-secondary setting.
Working with databases and student information systems, preferably with Banner, or any relational database in a post-secondary education.
Working in an office environment with demonstrated problem solving skills.
Working in a time sensitive deadline driven environment with an elevated attention to detail.
Working independently and in a team environment.
Working in a role with diverse responsibilities and knowledge base.
Project coordination experience is preferable.
Knowledge of Microsoft office products is essential, including Word, Excel, PowerPoint. Familiarity with Mohawk College programs is desirable; including, MyCanvas, MyMohawk mail and groups, Fast Suite, Banner, SUMMIT, ePAFs, COGNOS.
